Maintenance Planning Assistant
Job Description


SUMMARY

The Maintenance Planning Assistant will maintain work orders and records for parts, equipment, assets and maintenance Team Member information in Infor EAM. Assists the Maintenance Manager with workflow and scheduling of the department personnel. Assists maintenance personnel with the timing and preparation of work related projects.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Maintain an accurate parts inventory by utilizing Infor EAM and order needed parts for equipment; send Request For Quote (RFQ) to venders to ensure best pricing and maintains system required stock levels

Performs spot inventory checks to ensure accurate records in INFOR EAM.

Run, analyze and distribute the requested reports by utilizing Infor EAM

Follow the Maintenance Manager’s direction by placing orders for parts and supplies; completing orders by using eProcurement

Maintain packing slips records, process invoices as required, and advise the Store Support Center of any discrepancies in scanned invoices

Maintain office supplies including first aid, safety supplies, and warehouse supplies

Maintain accurate records for special orders and purchased/returned parts to ensure proper credit is obtained and makes sure that all invoices are paid (including working with IBM, CAC and eProcurement)

Maintain equipment history files and Janitor files

Maintain department communications and vendor relations

Maintain battery reports by completing records as batteries are changed and prepare work orders for mechanics

Assist the Maintenance Manager with the maintenance of department budget (M&R) and monitor of the Capital Expenditure (CAPEX)

Coordinate office services by preparing records, budget preparation, and personnel documentation

Prepare invoices, reports, memos, letters, financial statements and other documents

Maintain technical catalogs, drawings, blue prints, maintenance procedures, and vendor contacts

May assist in clerical duties in other areas of the warehouse as needed to support the facility such as Human Resources, Shipping, Receiving, Selections or Transportation

QUALIFICATIONS

Must be knowledgeable in all facets of a maintenance department

Ability to add, subtracts, multiple, and divide in all units of measure, using whole numbers, common fractions, and decimals

Ability to use the metric system in all aspects of this position

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram formats

Ability to deal with problems involving several concrete variables in standardized situations

Proficient in MS office suite

Work various shifts, departments and locations, as required

Overtime, weekends and Holidays as required.

EDUCATION and/or EXPERIENCE

High school diploma or equivalent required. 

Three to five years related experience and/or training or some equivalent combination of education and experience in the clerical field.

While performing the duties of this position, the Maintenance Coordinator may be exposed to moving mechanical parts, electrical equipment in both high and low voltage/amperage ranges, and occasionally exposed to high places, fumes or airborne particles, and toxic or caustic chemicals.

Will occasionally be exposed to high noise levels.

Compensation Range

20.75 USD PER HOUR - 24.19 USD PER HOUR
