Maintenance Supervisor - Hudson Gardens
(Full Time, Non-Exempt)

Hiring Range is $60,253 to $72,892 annually based on qualifications, education and experience as it relates to the position.
Position Summary:
Under direction of the Manager of Hudson Gardens, this position is responsible for the supervision, training, and direction of the daily activities of a Grounds and Facilities maintenance crew including full-time, part-time, seasonal, and/or volunteer staff. The Maintenance Supervisor oversees and executes the daily facilities, custodial, horticulture, and irrigation duties required to maintain Hudson Gardens facilities and grounds. This includes the daily inspection, routine operation and preventative maintenance, and/or performing repairs to Hudson Garden building, equipment, grounds, and property. This position is responsible for identifying, planning, prioritizing, scheduling, coordinating, assigning and evaluating projects and personnel associated with all aspects of Hudson Gardens facility and grounds maintenance, including, but not limited to turf, irrigation, horticulture planting, shrub and tree care, and facility maintenance. This position is tasked with a variety of manual labor responsibilities including but not limited to tree planting, pruning, removal, etc. Additional responsibilities include inventory and assessment of assets, disease and pest control, special projects, and maintaining a safe work environment. Performs duties in a manner consistent with the stated values of the organization.
Essential Duties:
Supervises the daily work activities of full-time, part-time, seasonal, and volunteer personnel. Recruits, interviews, hires, and trains new staff. Provides constructive and timely performance evaluations. Works with employees to correct deficiencies. Handles discipline and termination of employees in accordance with organizational policy. Plans, prioritizes, schedules, assigns and dispatches crews and equipment to maintain Hudson Gardens facilities, grounds and property on a daily basis. Provides backup support as needed. Reviews and approves employee bi-weekly timesheets. Works directly with Payroll to resolve any pay issues. Administers and adheres to District policies. Assists in preparing, enforcing, maintaining, and modifying policies and procedures manuals that comply with local, state and national regulations. Conducts periodic staff meetings to provide and gather information; answers questions and responds to complaints and concerns, both internally and externally. Ensures the safety of users and keeps District liability risks at a minimum by properly maintaining Hudson Gardens facilities and grounds within the current safety specifications. Performs regular inspections of Hudson Gardens buildings, equipment, grounds, and property. Initiates proper maintenance activities, maintains accurate planting, maintenance and removal records and provides regular status and needs reports to the Manager of Hudson Gardens Delegates and performs custodial tasks as needed to ensure a clean facility for the public, including cleaning restrooms, removing trash, general cleaning, refilling of supplies, and any other necessary maintenance functions. Oversees general cleaning of all rooms/offices in buildings to include lobby, halls, tile and wood floors by vacuuming, mopping, buffing, and cleaning counters and sinks, drinking fountains, fixing minor plumbing issues, shampooing carpets, cleaning mirrors, windows, washing rubber mats, dusting air vents, etc. Performs various maintenance duties such as minor painting, plumbing, carpentry, and electrical repairs as directed. Keeps all grounds and parking areas free of litter. Removes trash from all facility and grounds receptacles and replaces liners on a regular basis. Responds to work orders for all facilities, grounds, and operational needs. Performs repairs and cleaning of facility chairs and tables, assigns or performs installation and repairs of benches and picnic tables as required, as well as maintaining inventory. Performs installation and replacement of signage as directed. Exercises good judgment and proper safety precautions and practices at all times. Coordinates vehicle and equipment maintenance and repair with service center personnel. Conducts or coordinates and documents safety training of assigned staff. Trains personnel in proper planting/transplanting techniques, cultural requirements, safe and efficient operation and maintenance of tools equipment, machinery, work methods and chemical applications. Develops and maintains professional relationships with District employees, vendors, citizens, and various outside user groups to coordinate their programs and special events. Responds tactfully, respectfully and in a timely manner to inquiries, complaints, and problems in person, through email, phone and mail by providing helpful information and explanations in-line with District policies and procedures. Thoughtfully handles confrontational or stressful interactions. Maintains storage areas with tools and supplies in a neat and orderly fashion. Keeps an up-to-date inventory log for all equipment, tools, parts, supplies and vehicles, and machinery. Locks and unlocks assigned buildings: secures buildings when facilities are not in use, checks for unlocked doors and windows, reports any unauthorized occupants Assists in shop cleaning, keeping the facility organized, tidy and safe. Oversees and inspects assigned irrigation systems on a weekly basis and performs skilled maintenance including irrigation repairs to mainlines, valves, laterals, heads and pumps. Responsible for reading water meters; activating irrigation systems and fountains at the beginning of the season; winterizing irrigation systems and fountains at the end of the season; and annually testing irrigation backflows. Performs daily maintenance on ornamental water fountains as assigned, including filter cleanings and repairs to timers, pumps, lights, nozzles and liners. Identifies inefficiencies, recommends and implements improvements in irrigation systems. Provides feedback on application rates. Monitors changes and follows up as necessary. Installs, performs operations, troubleshoots, maintains, and repairs computerized central irrigation controllers. Identifies, plans, prioritizes, schedules, assigns, supervises and evaluates planting and establishment programs. Schedules monthly and weekly work as well as dispatches crews and equipment to project locations on a daily basis. Develops and maintains an up-to-date power map in the gardens including all locations that have access to power available for use, as well as the amount of power associated to each location. Prioritizes shrub and flowerbed renovations and new bed designs, and coordinates with the Manager and underground utilities notification center. This includes bidding, ordering, scheduling delivery, and installing all flower and shrub bed plantings. Regularly inspects shrub, flower and rose beds as well as foliage plants throughout the grounds. Initiates proper maintenance activities, maintains accurate planting, maintenance and removal records and provides regular status and needs reports to the Facility Manager. Works with Outdoor Recreation Specialist to assist with volunteer daily needs. Provides insight on best practices and planting designs for volunteer gardening work and that will enhance the gardens. Performs and assigns labor in volunteer areas including but not limited to: upkeep and replacement of planting beds, weeding, hand watering, and removal of brush. Assists with structural and health pruning of small trees, plant health care, and pest control programs. Prior to scheduling pruning work, establishes pruning objectives and pruning prescriptions to protect the health, vigor and structural development of shrubs and trees. Prunes certain species to avoid the spread of disease, excessive sap bleeding and to enhance flowering. Responsible for outsourcing contractual or District assistance in planting and removal of trees. Performs watering, fertilizing, weeding, staking, structural pruning, clearance pruning, health treatments, and tree protection. Conduct tree, shrub, and annual inventories, planting location inventories and other inventories as needed. Provides up to date mapping of tree inventory and tree plotting map to outline designated spaces available for new memorial and tribute trees. Provides guidelines on species of trees to be planted in specific areas to enhance growth. Responsible for ordering and scheduling planting of new memorial and tribute trees. With the approval of the Manager, responsible for ordering replacement trees in areas of need. Oversees installations of tribute and memorial bricks and benches. Assists in coordinating and carrying out Storm Damage Responses for Hudson Gardens. Assists others as needed or requested while always committing to be a team player. Oversees and performs snow removal activities including plowing, shoveling, and applying ice melt at Hudson Gardens grounds, facilities, and parking lots. Maintains and cares for assigned tools and equipment including trenchers, pickup truck, trailer, compressor, etc. Maintains and routinely inventories parts and materials used while performing maintenance duties. Schedules crews to maintain, repair and restore machinery, equipment and facilities. Performs duties to assist with special events including but not limited to: providing power maps and accessible power in areas needed, preparing grounds for installation of assets for special events, maintaining safety and cleanliness of grounds before, during and after special events, installation of safety ropes and barricade, and assisting with load in and strike when needed. Assists with preparing and monitoring the budget, managing revenues and expenditures, and preparing financial reports. Prepares bid documents, purchase orders, RFPs, and invoice requests; purchases, maintains and inventories materials and supplies including custodial and maintenance supplies received and used; reconciles purchase cards in a timely manner; provides lists of materials for cost tracking. Works with vendors to ensure proper delivery and quality of materials and services. Maintains labor and material cost tracking data for facilities maintenance, equipment, and irrigation, including water expenses, planting and establishment of planted assets. Keeps accurate records including personal timecard, work orders, daily activity reports, incident/accident reports, and custodial and maintenance inventory logs according to District procedures in a timely manner. Assists others in work group with filling out timecards, activity sheets and other electronic or hardcopy paperwork. Attends and participates in staff meetings, trainings, and orientations. Attends work on a regular, reliable and punctual basis. May be required to work weekends, evenings, and holidays; may be required to work shifts deviating from this position’s normal workdays; and may be assigned to work with other work groups. Responsible for monitoring snow conditions and determining emergency snow response.

Education and/or Experience:
Must be eighteen (18) years of age. Associate degree in Horticulture, Natural Resource Management, Environmental Science, or a related field. Four (4) years’ related parks, custodial or grounds maintenance experience which includes one (1) year of supervisory experience. Any combination of experience, training and education that demonstrates the required knowledge, skills and abilities to perform the essential functions of the position may be considered.
Licenses, Certifications, and Other Requirements:
Colorado Pesticide Applicator’s License as a Qualified Supervisor in the Turf and Ornamental category or the ability to obtain within three (3) months of employment. Certification by the American Society of Sanitary Engineering as a Cross Connection Control Technician or the ability to obtain upon hire. Must possess a valid Colorado Driver License or the ability to obtain upon hire and maintain an acceptable driving record.
Necessary Knowledge, Skills and Abilities:
Knowledge of and skill in the use of maintenance and construction equipment, materials, techniques, and supplies used in the maintenance of Hudson Gardens grounds and facilities including custodial, horticulture, and irrigation duties. Skills and ability to document daily maintenance activities, keep accurate work logs and reports, design and implement traffic and pedestrian detour plans, and conduct and correct jobsite hazard analysis. Knowledge of the proper use of chemicals and their applications. Ability to effectively manage and prioritize situations and goals to maximize available resources. Problem solving skills to analyze complex problems and implement appropriate corrective actions. Knowledge of budget planning and management. Skills in recruiting, training, supervising, evaluating, and motivating employees. Ability to work independently and with a team in a fast-paced and high-volume environment with emphasis on accuracy and timeliness. Skill and ability to use and enforce all applicable work safety rules, procedures and equipment. Ability to work productively without supervision within established policies and procedures. Ability to read and understand blueprints, irrigation blueprints, and instructional materials. Working knowledge of Microsoft Office applications, including Word, Excel, Outlook, PowerPoint, Project and Internet Explorer. Ability to interpret and evaluate the work of staff effectively. Must be highly motivated and take direction well. Excellent interpersonal skills with the ability to provide outstanding customer service, establish and maintain effective working relationships, and interact with others in a professional manner. Excellent communication skills to understand oral and written instructions; to express facts, data, and ideas clearly and concisely both orally and in writing.
Material and Equipment Used :
Regularly uses maintenance equipment which may include but is not limited to: tractors, skid steers with various implements, pick-up or stake-bed trucks with manual or automatic transmissions, trailers for towing equipment or materials, pesticide application equipment including high or low pressure sprayers and backpack sprayers, pesticides, fertilizers, de-icing salts, snow plow trucks, ATVs or out-front mowers with snow plows; hand tools such as shovels, rakes, hand trowels, screw drivers, hammers, wheel barrows, etc.; electrical power tools such as drills, circular saws, jig saws, etc.; motorized power tools such as weed trimmers, hedge shears, backpack blowers, rototillers, walk-behind mowers, snow blowers, chainsaws, etc.; water truck and pump systems; hand-held data collection devices, and GPS tools and software. Regularly uses standard office equipment including a personal computer, phone, smart or cell phone, calculator, printer, and photo copier. This position regularly drives a District and/or personal motor vehicle to various District facilities.
Working Environment :
Regularly requires strenuous work outdoors with exposure to a variety of weather conditions, ecosystems, and landscapes. This position has regular exposure to adverse conditions such as dust, fumes, odors, noise, wildlife, chemicals, extreme temperatures, ultra-violet radiation, precipitation, and may include unlit or low light situations. This position will include 15-20% of work in an office environment subject to interruptions and background noises.
Physical Requirements :
Extended periods spent performing manual labor and standing, walking, sitting. Occasional physical work to lift, carry, push, and/or pull/drag objects weighing up to 75 pounds unassisted Required to use hands and fingers to handle or feel objects, tools or controls; and reach with hands and arms. Frequently required to climb, squat, stoop, bend, kneel, crouch or crawl. May occasionally climb stairs and short ladders and work in uncomfortable positions for short periods of time. Frequent hand/eye coordination to operate tools, machinery, personal computer and equipment. Foot/eye coordination required for operating motorized equipment. Daily duties require the ability to twist, grasp, and make repetitive hand movements. Vision for reading, recording and interpreting information. Vision acuity to see close-up and at a distance with the ability to adjust focus allowing a broad field of vision. Speech communication and hearing to maintain clear and effective communication, and to receive and interpret warning signals.
