Primary Purpose of the Organizational Unit The ITS Division is organized so that the Management and Budgets group is responsible for managing the entire division’s budget of over $20,000,000, all personnel work for a staff of over 130 permanent and a number of temporary positions and management of Division and Enterprise IT contracts, and management of divisional hardware and software (including fixed assets in excess of $10,000,000, and millions of dollars in other non-fixed assets).
Duties include budgeting, purchasing, management of travel, and financial reporting and analysis; preparing paperwork and advising management on all hiring activities and personnel actions; technology contract management (hundreds of contracts and click wraps) for Divisional and Enterprise Hardware; advising management and staff on policies and procedures, financial, asset management and tracking for all divisional hardware and software. Position Summary The primary purpose of this position is to manage the daily and monthly financial management of the division’s financial resources including purchasing, financial reporting, maintaining financial and personnel records, budgeting and financial analysis of the ITS’ State, fee, and certain trust funds which total in excess of $18,000,000.
Works with the Director of Resource Management and the ITS Facilities Management and staff to track all divisional assets including fixed assets, software, and other non-fixed IT hardware and is responsible for working with Managers and staff to ensure all assets are input into Remedy, properly classified, and the status and financial information is updated. Position also works with the Director to ensure all needed personnel information is updated and maintained. Minimum Qualifications BACHELOR’S DEGREE IN BUSINESS ADMINISTRATION, ACCOUNTING, PUBLIC ADMINISTRATION, OR RELATED BUSINESS AREA; OR EQUIVALENT COMBINATION OF TRAINING AND EXPERIENCE. ALL DEGREES MUST BE RECEIVED FROM APPROPRIATELY ACCREDITED INSTITUTIONS. Percentage Of Time 15 Key Responsibility Asset Management Essential Tasks Work with ITS Facilities team to track over $10,000,000 in ITS Fixed Assets and millions more in non-fixed asset hardware and software as needed in ServiceNow. Insure all newly purchased assets are put into Asset Management, are classified properly and the status and financial information are updated as needed. Track spending for ITS Assets. Provide information and advice to Senior Management regarding Asset Spending. Percentage Of Time 10 Key Responsibility Contract Management Essential Tasks Enforce divisional and University contract procedures. Advise management on contract licensing issues. Maintain divisional and institutional contracts for hardware, software, and contracted services.
