**The opportunity**
We are seeking a highly organized and proactive Management Assistant to support our Lead team. The ideal candidate will be responsible for managing schedules, coordinating meetings, handling confidential information, and ensuring the smooth operation of daily business activities. This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
**How you’ll spend your day**
• Calendar Management: Schedule and coordinate meetings, appointments, and travel arrangements for executives.
• Communication Handling: Manage emails, phone calls, and other correspondence on behalf of executives.
• Meeting Coordination: Prepare agendas, take minutes, and follow up on action items.
• Document Preparation: Draft reports, presentations, and correspondence as needed.
• Confidentiality: Handle sensitive information with the highest level of discretion.
• Project Assistance: Support various projects and initiatives by conducting research, compiling data, and creating reports.
• Stakeholder Coordination: Serve as a liaison between executives and internal/external stakeholders.
• Office Management: Oversee office supplies, maintain records, and assist with administrative tasks as required.
**Your experience and qualifications**
• Bachelor’s degree in Business Administration, Communications, or a related field preferred.
• 3+ years of experience as an Executive Assistant, Personal Assistant, or in a similar role.
• Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with scheduling tools like Google Calendar, Zoom, or Microsoft Teams.
• Strong verbal and written communication skills (English & Serbian).
• Exceptional ability to multitask, prioritize, and meet deadlines.
• Proactive approach with strong decision-making abilities.
• Ability to handle confidential information with integrity and professionalism.
• Experience working in a corporate or management -level setting.
• Familiarity with project management tools like Asana, Trello, or Monday.com.
• Ability to adapt to changing priorities and work under pressure.
