Arizona State University (ASU) in Washington, D.C. seeks a part-time Facility and Event Management Assistant to serve as the onsite facility liaison during evening and weekend events at the ASU Barrett & O’Connor Washington Center. Located in the Golden Triangle neighborhood of downtown Washington, D.C., the center hosts a range of academic and public convenings in event spaces throughout the facility, from 20-100 guests.

The Facility and Event Management Assistant is an in-person position supporting meetings and events which may take place on evenings and weekends as needed. Specific work days and hours will vary weekly based on scheduled events. Typical weekday shifts are expected to begin at 4:00 p.m. and end around 9:00 p.m.* (*varies depending on when the scheduled event ends). Typical weekend shifts are expected to begin at 8:00 a.m. and end around 2:00 p.m*.

The Facility and Event Management Assistant serves as the primary facility liaison during meetings and events taking place in the evenings and on weekends, ensuring that the event is running smoothly and that the facility is ready for the next meeting or event the following morning. Duties include greeting and escorting vendors including caterers, resolving the concerns of event hosts and guests, assisting with event clean up and load out, setting up furniture and equipment, and ensuring the space is ready for the next function.

Students participating in Hospitality & Tourism, Event Management and similar programs are encouraged to apply. This is an excellent opportunity for students interested in gaining hands-on experience in facilities and meeting/event management.

Provide onsite facility support during meetings and events, ensuring the space is set up for the event to run smoothly.Handle any last-minute changes or issues that arise during the event.Direct onsite vendors, including overseeing load in, set-up, event production, and load out, responding to requests and ensuring the building remains in appropriate condition.Reset or change furniture set up in preparation for the next scheduled meeting or event.Provide post-event reports to the operations team.Other related duties as assignedASU conducts pre-employment screening for all positions which includes a criminal background check, verification of work history, academic credentials, licenses, and certifications. Employment is contingent upon successful passing of the background check.Must be located in the Washington, DC metro-areaFlexibility to work a schedule which varies each week, with weekday start times at 4:00 p.m. and Saturday mornings/afternoons, as required for event schedules.Must have reliable transportation to downtown Washington, D.C.Experience supporting events and/or serving as a facility liaisonExperience in establishing and maintaining effective working relationshipsDemonstrates a 'can do' attitude, willing to assist and support with any taskExperience in work that requires attention to detailExperience taking the initiative to complete work which hasn’t been assignedEvidence of effective communication and interpersonal skills, ability to interact professionally with event hosts and guestsExperience in identifying quick, creative solutions to immediate problems that may arise during the set up and execution of eventsAbility to manage time effectively, especially in high-pressure situations leading up to and during eventsExperience in Microsoft Office Suite (i.e., Outlook, Word, Excel, PowerPoint)**Position is Based in Washington, D.C.**The office and meeting/event spaces are located within the ASU building in downtown Washington, DC.The position operates during evening hours Monday to Friday, with occasional daytime weekend shifts.Activities are performed in an environmentally controlled office setting.Activities require standing for varying lengths of time and walking throughout the building to perform work. Frequent bending, reaching, lifting, pushing and pulling up to 50 pounds required to lift and carry event materials and equipment including tables and chairs.Activities also include periods of sitting, keyboarding and manipulating a computer mouse.Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts and quick problem solving.Ability to clearly communicate to perform essential functions

Bachelor's degree in a related field; OR, any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.
