CORE JOB SUMMARY
The Manager, Administrative Operations oversees office activities and services including the supervision of office staff to achieve maximum productivity and expense control. Develops procedures and policies for administrative activities, such as records maintenance, document preparation, mail distribution, reception, and other related internal operations.
CORE JOB FUNCTIONS
Ensures all administrative operations run smoothly and efficiently. Coordinates, plans and directs services which support the running of the department Plans and coordinates the duties of staff in addition to analyzes complex administrative concerns. Develops and implements department processes. Recruits and trains office support staff. Manages staff in the day-to-day performance of their jobs. Ensures projects, department milestones/goals are met and adheres to approved budgets. Purchases and maintains office equipment and supplies. Tracks and analyzes operational costs. Coordinates delivery of office services with other departments. Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures.

The Administrative Manager will play a crucial role in supporting clinical and research activities, ensuring efficient operations, and maintaining essential administrative functions. The individual will work closely with medical professionals and research teams, providing critical support in various tasks and responsibilities. This position requires proficiency in UCHART/EPIC systems, strong organizational skills, and the ability to manage multiple projects simultaneously.
Key Responsibilities:
Clinical Support:
Assist in managing clinical roles for new patients.Access and manage schedules for multiple doctors to gather clinical information.Utilize UCHART/EPIC systems for clinical data management.Perform clinical tasks such as ordering cells and ensuring invoice payments.Credentialing:
Takes proactive role in scheduling and completing non-medical applications.Renew and complete all necessary licenses and certifications, including DEA, Medical, BLS certificate, ASCO, and ASH memberships.Research Team Support:
Provide full-time support to the research team, addressing all their needs.Serve as the primary contact for all research-related requests, including reimbursement processing.Maintain and manage lab ordering and clerical supplies for clinical lab NPs and research staff.Order computers and other necessary equipment.Track account numbers and provide staff with the best accounts for purchases.Review and approve financial transactions via Workday.Additional Lab Responsibilities:
Coordinate delivery of office services with other departments and create work orders.Obtain quotes for items and maintain lab equipment.Create and manage support systems to ensure the availability of cost-effective supplies and equipment.Assist lab members (total of 5) with reimbursements and various requests.Renew annual memberships for meetings and professional organizations.Department Specific Qualifications
Experience:
• Familiarity with UCHART/EPIC systems; previous access preferred.
• Experience as a clinical assistant or similar role is highly desirable.
• Proficiency in managing financial transactions and reimbursement processes.
