Manager, Physician Clinic

The Manager of the physician clinic, plans, organizes and manages all non-physician matters dealing with the Practice.  Accountable for all aspects of practice operation, including financial management and budgetary control; non-physician staffing management and oversight; patient care systems/workflow; patient information management, practice billing and collections, productivity; and performance analysis and reporting.  Maintains and encourages high quality healthcare delivery.

Responsibilities: 

Leads, Administers, Operates Physician Practice within Budget, Supervises & Delegates, Builds Professional Relationships, Maintains Clinical Certification and Excellence. Understands and Supports the financial goals of the Physician Practice. Works in collaboration with the Vice President and Director of the Brooks Rehabilitation Medical Group for all physician and clinically related activities. Develops and manages the budget for the physician practice. Hires, discharges and ensures training for staff. Responsible for all physician practice operations Oversees physician and support staff productivity in collaboration with the Vice President and Director of the Medical Group. Develops protocols for referrals from physicians, case managers, attorneys, patients and other sources, assures all referral information is collected Responsible for practice billing in collaboration with the Revenue Cycle Department.  Assures physician billing and collection is accurate, timely and properly administered. Develops processes for the verification of patients’ insurance benefits for initial and subsequent treatment; assures the accuracy of and distributes necessary verification forms.  Manages patient co-pays and co-insurances. Assures the proper pre-registration and registration of patients upon completion of verification. Demonstrates and understands the enrollment and reimbursement requirements for Federal and State Insurance Programs, Managed Care Arrangements and Workers Compensation. Ensures an ongoing medical record audit process for compliance purposes. Instructs and educates staff in proper care and use of all office/clinical equipment. Performs employee evaluations for supervised staff per corporate standards. Conforms to all personnel policy and procedures. Supports and assists other managers Creates/develops concepts for developing improved work processes to improve quality/efficiency of the physician practice/clinic environment. Insures practice policy and procedure manual is current, well maintained, reviewed and revised according to administrative mandate. Responsible for routine financial, productivity, quality and other reports and practice analytics under the direction of the Director and Hospital Administrator. Fosters opportunity for optimum staff professional growth and clinical development.  Develops and implements appropriate practice standards for patient service based on need, capabilities and practice mission. Acts as liaison between staff and referral sources. Manages subpoenas and releases of information to appropriate individuals. Supervises the preparation of the medical chart on each patient assuring all necessary forms, information and prescriptions are obtained and keeping them up-to-date. Manage the ordering of all supplies for the practice. Perform other duties as assigned or needed. Maintains close liaison with all practice physicians. Demonstrates ability to perform all facets of job effectively and efficiently. Demonstrates leadership skills and attitude that enhances staff personal and professional development. Assures that the practice coordinates and supports the programs of the hospital as patient’s transition to outpatient care. Compose letters and/or other forms of official correspondence for complex communication requirements such as:  solicitation letters to the State Department of Health for funding sponsorship of uninsured patients  detailed letters of medical necessity for submission to insurance companies or other funding sources for procedural pre-determination review correspondence to patients, external physicians and others - written in surrogate authorship for the Brooks’ physicians Author the clinic policy and procedure guidelines for review and approval by the Hospital  Administrator and Vice President of the Medical Practice Group. Discuss medications with pharmacists, patients and physicians as required to satisfactorily resolve questions/problems. Maintains confidentiality of patient information. Adheres to policies and procedures specific to patient rights. Maintains a clean and safe environment; identifies and reports hazards. Meets all requirements for mandatory in-services.                       Proficient in basic computer operations and all office automation equipment (telephones, voice-mail, desktop computing, electronic mail, facsimile procedures, automated, scheduling). Proficient with Microsoft Office software products, especially Word and Excel. Proficient in database applications pertinent to physician clinic operations. Adheres to policies regarding attendance, conduct, grooming, and dress code. Exhibit sound organizational skills and personal initiative. Exhibit excellent leadership skills. Exhibit professional demeanor and communication skills. Knowledge of medical terminology and insurance verification Proficient with medical authorization for services. Exhibit the ability to communicate with a wide variety of individuals (patients, families, physicians, attorneys, external funding agencies, allied health workers, and co workers). Promotes a positive image of the physician practice to outside agencies and the public. Participates in performance improvement activities as needed. Exhibits excellent service to patients, visitors, physicians, and co-workers. Shows courtesy, compassion and respect. Exhibits values of the organization. Proficient with English composition at an advanced level: must possess knowledge of grammar, mechanics, punctuation, spelling, diction and effective sentence structure Documents communications with patients and any actions taken to insure that legally-sufficient charting is maintained at all times

Interdisciplinary Collaborations

Participates in conferences and meetings as required/indicated. Collaborates with other managers throughout the system to promote the advancement of quality patient care/outcomes. Coordinates activities with inpatient and outpatient managers. Participates in committees and projects as assigned.

Qualifications:   

Bachelor’s degree preferred, Master's preferred Licensed professional preferred Three years full-time medical office experience preferred or comparable work experience Ability to plan and oversee practice operations. Must be knowledgeable of medical terminology, insurance verification, and comprehensive scheduling.  Experience with medical records, invoices, financial and other reports and analytics.  Knowledge of coding, RVU’s, physician relations preferred. Must be a team player with demonstrated ability to follow through on tasks and assignments
