About the team and the role:
We are looking for a highly experienced Senior Manager of Planning Processes & Tools to lead the design, implementation, and ongoing management of the planning process for our Core Product team. In this role, you will develop and complete planning strategies, operational frameworks, templates, and tools to ensure work across all Core Product teams is prioritized effectively, resources are allocated efficiently, and planning activities are well-supported. As a key partner to cross-functional collaborators, you will drive visibility, develop alignment, and establish standard methodologies for planning processes that can be scaled and adopted by other teams!
What you will accomplish:
Ongoing Planning Process
Design and implement a standardized, agile planning process for the Core Product team to prioritize projects, allocate resources, and align with business goals.
Collaborate with engineering, product, design and external partners to prioritize and define capacity constraints.
Develop templates, timelines, and communication strategies to facilitate the planning process.
Run regular planning sessions, retrospectives, and process reviews to ensure continuous improvement.
Planning Tools & Reporting
Recommend and document requirements for new planning tool improvements, integrations, and customizations; stay updated on industry trends and emerging tools and technologies.
Partner with IT on implementation, integration and compliance with existing business systems.
Lead and configure tools & software (e.g., AirTable & JIRA) to improve planning accuracy, efficiency and enhance productivity.
Train team members and partners on the effective use of planning tools to ensure alignment and consistency.
Resource Allocation & Reporting
Lead the development and maintenance of planning reports, dashboards, and key performance indicators (KPIs) to supervise the efficiency of the planning processes and systems.
Analyze data to identify trends, gaps, and areas of improvement for future planning cycles.
Create and maintain a clear methodology for prioritisation that considers team capacity, project complexity, and strategic priorities.
Work with team leads and managers to ensure resource plans are realistic, balanced, and aligned with team goals.
Monitor and supervise resource utilization throughout the quarter and make recommendations for adjustments.
Cross-functional Collaboration:
Act as the central point of contact for the CP planning process, encouraging collaboration between engineering, product, and operational teams.
Partner with leadership to align quarterly plans with the overall company strategy and ensure timely decision-making.
Facilitate clear communication of plans, trade-offs, and decisions across all levels of the organization.
What you will bring:
7+ years of leadership experience in technology planning, process management, or operations within a technology organization; confirmed experience designing and leading operational processes for planning and resource allocation.
Expertise in planning methodologies (e.g., Agile, Lean, OKRs) and how they apply to technology teams.
Expertise in configuring and leading different planning and resource management tools (e.g., Jira, Asana, Airtable).
Strong analytical attitude with experience in capacity planning and forecasting.
Exceptional verbal and written communication skills, with the ability to convey sophisticated information clearly and concisely.
Ability to inspire change and build consensus across different partners.
