HIV/AIDS Institute has an exciting opportunity for a full time Manager, Research Support (A) position. The incumbent provides program support to facilitate research. Furthermore, the incumbent oversees research operations to ensure efficiency and compliance with applicable regulations. 

CORE JOB FUNCTIONS                                                                                           

Contributes to basic and applied research activities by collecting and analyzing data and maintaining databases.

Understands and interprets research protocols and procedures and ensures all research is undertaken according to best practices.

Provides guidance, mentorship, and oversight to junior research staff and students.

Conducts meetings with research and other staff, outside agencies, and other applicable organizations and ensures functions are coordinated in a timely and accurate manner.

Provides technical and program support and resolves operational problems.

Assists in the preparation and publication of manuscripts and other program-related documents and reports.

Stays abreast of developments in the field which may impact department functions.

Advances expertise through continued education, training, and research.

Adheres to University and unit-level policies and procedures and safeguards University assets.

Department Specific Functions

50% Center for AIDS Research (CFAR) Developmental Core

This core is responsible for spearheading a new initiative that will involve merging mentoring and clinical and community outreach initiatives with Florida International University and University of South Florida.

The HIV AIDS Institute has an exciting opportunity for a Manager, Programs to work onsite on the UHealth campus. The Manager, Programs oversees and coordinates the day-to-day operations of the assigned University programs in accordance with the institution’s academic and strategic missions. The incumbent operates with the goal of delivering high quality programs to the University faculty and staff and other key stakeholders. Furthermore, the Manager, Programs provides guidance and mentorship to program staff to encourage talent development.

CORE FUNCTIONS

Supervises and trains team dedicated to supporting the CFAR Developmental Core. Provides guidance and mentorship, prepares and evaluates staff performance reports, and takes human resources actions as needed.

Uses situational leadership and conflict management techniques to answer staff inquires, resolve employee conflicts, address performance issues, etc.

Manages program operations for the Developmental Core, such as grant application and research support; core initiatives; student services and relations; etc.

Is knowledgeable of core activities, projects, schedule; Understands the core’s programmatic priorities and activities, and prepares documents and presentations on strategic initiatives.  

Provides programmatic coordination; identify redundancies and opportunities for collaboration and resource sharing; recommends changes regarding program activities and procedures as needed.

Maintains relationships with key stakeholders, both internal and external to the organization (collaborators, sponsors, and business partners)

Manages core website, including reviewing, writing, and updating content; compliance with University branding, practices, and procedures; etc.

Assists with development initiatives, including serving as a liaison between development and high-ranking individuals inside and outside the University; silent donations and donor privacy; acting with sensitivity and discretion; etc.

Acts as liaison with University government affairs office

Monitors expenditure compliance of accounts within Federal, State, and Institutional guidelines.

Prepares Developmental Core travel preparations and reimbursements for conference/training coordination.

50% Administrator for the AIDS Institute.

CORE FUNCTIONS

Provides general oversight of operations, including supervision and performance management of all assigned staff including making decisions as they pertain to hiring, training, evaluation, promotion and termination

Manages daily operation and performance of the staff and directs them in achieving the HIV/AIDS Institute goals and objectives

Primary liaison with Human Resources representative to ensure the timely processing all new hires, terminations, promotions, position changes and employee leaves for departmental staff

Serves as a liaison between the department and Human Resources representative in coordinating documentation, actions, and disputes, and assists in the resolution of said items

Manages onboarding, training, and orientation for all staff

Responsible for coordination and preparation of HEIDI’s Progress Reports (annual and quarterly) as well as HEIDI’s funding renewal with the State of Floria and submission of supplemental grants and documents as needed

Is knowledgeable of Institute activities, projects, schedule; Understands the Institute’s programmatic priorities and activities, and prepares documents and presentations on strategic

Manages the coordination of meetings for internal and external advisory boards as well as special projects and major events including annual symposium(s)

Provides programmatic coordination; identify redundancies and opportunities for collaboration and resource sharing; recommends changes regarding program activities and procedures as needed

Monitors and reports on progress of milestones and scheduled completion to HEIDI Director

Initiates, establishes, and maintains business and strategic relationships with key stakeholders, both internal and external to the organization (collaborators, sponsors, and business partners) on behalf of Institute leadership.

Oversees space/facilities needs for unit including initiating and coordinating facilities/maintenance work orders, IT/telecommunications needs

Develops, manages and maintains website content

Supports department/division initiatives as needed

Orchestrates proactive crisis management for sensitive issues

Acts as a liaison with the University development office for fundraising activities and assists the Institute’s partners with administrative oversight

Acts as liaison with University government affairs office

Develops annual operating budget, provides analysis and forecasting, presents budget proposals to leadership

Monitors expenditure compliance of accounts within Federal, State, and Institutional guidelines.

As cost center manager for the HIV/AIDS Institute, manages and helps coordinate reviews and reconciliation of departmental accounts to adhere to budget allocations

Monitors the financial results to ensure fiscally responsible use of funds for numerous institute accounts and multiple pilot awards

Reviews and approves departmental travel preparations and reimbursements for conference/training coordination

Coordinates processing of departmental contractual agreements

Acts as a liaison with the assigned university representative from the Office of Research supporting the institutes with administrative and financial management and reporting of state contracts
