The Role
The role is to provide high-quality support to several Senior Leaders in a designated support capacity, and where necessary, additional administrative support to their teams. We are looking for someone with a positive, ‘can do’ attitude, excellent communication and interpersonal skills, a very efficient approach and someone who has the ability to forge strong and successful working relationships without face-to-face interaction.
Key Responsibilities and Activities
On day one together with your buddy, you will go through a series of onboarding training which will help you familiarize yourself with our culture, working style, and role specifics. You will meet the team and the leaders which you will support in your role of Manager’s Assistant in the following areas:
Calendar management
Successfully managing busy and ever-evolving diaries, proactively managing when schedules changeRe-scheduling complex meetings and travel itineraries, often at short noticeExtensive internal and external meeting schedulingBuilding and maintaining strong working relationships with key client contactsTravel and Logistics
Working with our travel company to co-ordinate sophisticated travel itinerariesAdministering timely procurement of visas and other travel documentation. Proactively pre-empting travel plansProviding logistical and technical support for all meetings, conferences, and workshops, using PowerPoint, Word, Excel, and online researchRelationship management
Supporting leaders and colleagues - building and maintaining cooperative relationships with clients and colleagues of all levels both internally and externallyCRM - employing best practices when accessing the CRM and digital mailing system, including timely and accurate creation/updating of contact information, according to global data standardsExpenses
Processing time and expense submissions. Managing complex expenses; running bank statement reconciliation and processing foreign currency receipts in an accurate and timely manner.Personal Attributes
