POSITION OBJECTIVE Working under general direction of the Associate Athletic Director of Facilities and Operations, the Manager of Facilities and Operations is responsible for the management of campus athletic facilities and administrative duties within the athletic department, for those sites. Duties include facility and game day management, supervision of student workers, and oversight of special events, rentals, camps and clinics.

ESSENTIAL FUNCTIONS 1. Manage the day-to-day operations for indoor recreation and athletic facilities, specifically Veale Convocation, Recreation and Athletic Center, Donnel Pool, Veale Natatorium, Van Horn Field, Carlton Courts, and Adelbert Gymnasium. Provide support and management for other athletic facilities (Wyant Athletic Center, DiSanto Field, Mather Park, Nobby’s Ballpark) as appropriate. Ensure all schedules and event briefs are updated and available to staff. Update calendars for all athletic/physical education/club and internal/external rentals. (30%)

2. Manage and oversee the recruitment, hiring, scheduling and supervision of 100+ student employees. Provide instruction and development opportunities for staff through training, coaching and performance evaluations. Work closely with the Facility Coordinator to ensure enforcement/ communication of student employment procedures, training and policies are consistent. Responsible for managing timecards and bi-weekly payroll for student employees. Oversee and implement an employee recognition program as well as an employee disciplinary program. Ensure facilities, events and other set-up/tear down needs are fully staffed. (20%)

3. Plan and manage on-site events to include: varsity competitions, Case Western Reserve University events and outside rentals. Lead and/or assist with event promotions, set-up and take down procedures, crowd control, ticket sales. Meet, greet and provide information as needed to visiting teams, organizations, officials etc. (13%)

4. Oversee development and management of Recreation Membership opportunities. Serve as liaison between Department of Physical Education and Access Services to ensure REC-ID’s and REC- access are processed and up to date. Develop systems for locker rental, lost and found and equipment check out, and ensure implemented properly. Audit membership applications to ensure accuracy and completeness. Generate and manage membership lists/records. Assist in compilation of annual user data and end of the year reports. Lead the development and implementation of customer service and member engagement programs. Develop and maintain membership communication templates, documents and materials. (6%)

5. Work Closely with Equipment Manager and Facility Coordinator on the distribution/collection of athletic equipment for varsity athletic teams. Perform laundry duties as needed for varsity athletics/recreation needs. (6%)

NONESSENTIAL FUNCTIONS 1. Manage and oversee camps and clinics, ensuring proper facility coverage and staffing; and that staff training and paperwork is completed in a timely and compliant manner. (5%)

2. Liaise with campus services such as parking, grounds, custodial, shipping and receiving, 1-2-1 Fitness Center, and campus facilities/maintenance services to ensure cleanliness, functionality, and access to all athletic spaces. Liaise with outside vendors such as pool chemical delivery and other outside services to ensure building maintenance, repair and upkeep. (5%)

3. Develop, coordinate and lead trainings, meetings and professional development opportunities for operation managers and staff. Assist with the implementation of new hires onboarding needs in the department with access services, keys, etc. (5%)

4. Provide oversight of aquatic facilities to ensure safety and condition; monitor and schedule general cleaning, water testing, preventative care and corrective maintenance performed by staff and Metro Pools. Recommend repairs and document any issues or concerns. (3%)

5. Assist with as NCAA/Conference Tournament hosting when the university is selected to host Tournament competitions. Host tournament site conference call, coordinate arrival/practice plans with visiting institutions, manage tournament in collaboration with NCAA/Conference site representatives. (3%)

6. Work with the Associate Athletic Director of Facilities and Operations to review and assess daily facility, user and staff issues. Assist in development, review and revising of facility policies and procedures. Conduct facility inspections, risk management audits and monitor facility usage and equipment inventory. (2%)

7. Manage and coordinate facility reservation requests in absence of the Associate Athletic Director of Facilities and Operations. (1%)

8. Perform other duties as assigned. (1%)

CONTACTS Department: Daily contact with Associate Athletic Director for Facilities and Operations; all department faculty and staff members and student worker staff as it relates to day-to-day operations, service and maintenance; internal campus services such as grounds, custodial, maintenance services regarding operations.

University: Occasional contact with university faculty and staff that are encountered while hosting special events.

External: Occasional contact with rental clients when hosting events. Students: Daily contact with undergraduate student workers and facility users when providing instructions and services, and resolving issues.

SUPERVISORY RESPONSIBILITY Provide direct supervision for student workers that assist with event and competition set up, and logistics.

QUALIFICATIONS
Experience: 2 to 4 years of experience in athletics, facility/recreation management.
Education/Licensing: Bachelor's degree in a relevant field required; Master’s degree preferred. Must
have a valid driver’s license.

 

REQUIRED SKILLS
1. Interpersonal skills and conflict resolution abilities.
2. Knowledge of Microsoft Office applications, GoogleDocs, GoogleSheets and basic database
principles.
3. Ability to meet consistent attendance.
4. Ability to interact with colleagues, supervisors and customers face to face.
