Manager of Operations – Commercial Office Portfolio
Responsibilities Job Overview: We are seeking an experienced Manager of Operations to oversee the management of our office buildings portfolio. This role is critical in driving operational excellence through the development and implementation of key processes, strategic initiatives, and best practices. The ideal candidate will have a strong background in managing RFP processes, creating and refining SOPs, and leading competitive bidding strategies. Key Responsibilities: Lead RFP and Bid Processes: Oversee the development and execution of Requests for Proposals (RFPs), including crafting Statements of Work (SOWs), reviewing and negotiating contract terms, structuring contract-specific KPIs, and conducting bid leveling to ensure competitive and cost-effective vendor selection. Develop and Implement SOPs: Create, refine, and standardize Standard Operating Procedures (SOPs) across the office portfolio, ensuring all building operations are clearly defined and consistently executed. Strategic Initiatives: Support the implementation of strategic initiatives across the Commercial Office Portfolio, ensuring alignment with company goals and driving process efficiencies. Advocate for and increase the adoption of these initiatives through continuous engagement with stakeholders. Operational Performance Improvement: Regularly assess the performance of office assets, identifying areas for improvement and recommending strategies to enhance operational efficiency and service delivery. Financial Reporting and KPI Tracking: Assist in the preparation of financial reports and collaborate with portfolio leadership to track and report on performance metrics, ensuring that financial and operational goals are met. Contract Management: Manage operational procurement and contracting processes, including negotiation and service delivery, to ensure that all vendor relationships and agreements meet the highest standards of performance and compliance. Stakeholder Engagement: Build and maintain strong relationships across the organization, facilitating open communication and ensuring the successful implementation of process improvements and strategic plans. Safety and Compliance: Ensure that all operations comply with legal, safety, and regulatory requirements, maintaining the highest standards of safety and risk management. Expertise in managing RFPs, contract negotiations, and bid processes within a commercial property management environment. Strong background in developing and implementing SOPs and best practices across a portfolio. Demonstrated success in improving operational performance and driving process efficiencies. Excellent project management skills, with the ability to manage multiple priorities and meet tight deadlines. Exceptional communication and interpersonal skills, with the ability to engage confidently at all levels of the organization. Proven ability to navigate complex situations, resolve conflicts, and drive results. Experience in financial management and KPI tracking, with a data-driven approach to decision-making.
