Manager of Volunteer Services
Job Description MAIN FUNCTION: Is responsible for building, maintaining, and growing a robust, profitable gift shop and engaged volunteer program at Arnot Health. Works collaboratively within the department and with hospital employees to identify opportunities for organizational benefit from the proper deployment and use of volunteers. Manages scheduling, office projects, and record-keeping related to volunteers. Reports to the Executive Director of Arnot Health Foundation. DUTIES AND RESPONSIBILITIES: 1. Builds strong and growing relationships with internal and external customers, including volunteers, employees, guests, patients, vendors, and the community. ** 2. Is responsible for recruiting volunteers at events and fairs, online, and in social media. Engages potential volunteers with an eye for matching skills to organizational needs and growth opportunities. ** 3. Is responsible for scheduling volunteer coverage including substitute coverage and initiating suggestions for replacement volunteers as openings occur. Also recruits and schedules volunteers for special events and projects. ** 4. Manages the day-to-day and overall function of the Arnot Ogden Arnot Health Gift Shops and Thrift Shop. Manages inventory, assists customers, completes cash reconciliations and identifies growth opportunities. ** 5. Responsible for accurate volunteer recordkeeping and onboarding including but not limited to processing new volunteer paperwork, maintaining address or membership changes, maintaining sign-in logs and schedules, following up on health records, documenting education, etc. Uses database system to keep records and generate reports for both department and compliance needs, such as tracking vaccination records. 6. Receives projects from hospital staff and supervises volunteers in promptly and accurately completing special clerical projects (including mailings) for Arnot Health departments. 7. Receives office mail, phone calls, and faxes. Orders office supplies and special purchases. Responsible for upkeep of department copier, folding machine, and laminator by addressing small issues, ordering supplies, and contacting support. ** 8. Supervises chart assembly volunteers, ensuring authorized revisions are documented and communicated, supplies are available, and problems are corrected. Orders forms and ensures sufficient supply. Tracks changes to maintain up-to-date materials and minimize waste. 9. Is responsible for organization, planning, and carry out of volunteer recognition events and annual education. ** 10. Trains volunteers to their various roles within the office, the gift shop, and in waiting areas with department functions, such as reception, telephones, and equipment use. 11. Initiates or implements, in conjunction with the Executive Director of Foundation, procedural changes to improve departmental workflow. ** 12. Maintains a welcoming environment for volunteers, staff from other departments and the public in the Volunteer Department and helps ensure good communications among staff and volunteers. Supports volunteers both on and off-site, and maintains a friendly, positive atmosphere in the department. ** 13. Supervises the Gift Shop Assistant. 14. Is responsible for attending all annual mandatory educational programs as required by position. 15. Employee understands and demonstrates the importance of satisfying the needs of the customer/patient by interacting with him/her in a friendly and caring way, being attentive to the customer’s needs, both psychologically and physically, and by taking the initiative to maintain communication with the customer in order to provide a secure and pleasant experience with the Arnot Health. 16. EDUCATION: Required: Bachelor's degree EXPERIENCE: Required: One to three years’ previous supervisory experience.Preferred:Experience with Point of Sale.Excellent computer, writing, verbal and interpersonal communication skills.Experience in volunteer coordination.Experience with using social media to advertise and recruit customers and volunteers. PHYSICAL DEMANDS: Dynamic office role. This position requires frequent standing and walking. Ability to frequently lift 25 pounds and occasionally lift 40 pounds. EXPOSURE CATEGORY: Category III.
