**Manager - Payment Processing** **Job Details** **Job Location** iLIFE Main - Milwaukee, WI **Position Type** Full Time **Education Level** High School Diploma, HSED or GED **Travel Percentage** Minimal; Less than 10% **Job Category** Nonprofit - Social Services **Description** **Job Purpose:** The Payment Processing Manager leads the development and implementation of payment processing strategies, managing and leading teams responsible for processing payments for individual workers and provider agencies, and ensuring compliance with contracts and financial regulations. This role coordinates with other departments providing customer service support on payment processing information and escalations, managing the pay cycle process, and leading the management of the payment processing department to ensure high levels of quality, performance, and customer satisfaction. **Essential Job Functions:** (Reasonable accommodations may be made to enable individuals with disabilities to perform these essential functions.) + Leads teams in collaboration with supervisors to manage the daily activities, coordinates resources, and + sets priorities for the team to ensure task completion and complete projects as needed. + Serves as the organization’s subject-matter expert in knowledge about rules, regulations, and program + compliance requirements related to timesheet and claims processing. + Leads the teams responsible for data entry using manual entry and optical character reader technology, + as well as teams responsible for more complex research and troubleshooting of payment issues and + escalations. + Partners with IT as a super user of technology and trains teams on software used for payment processing, + including MS Outlook, Automate, Flexicapture, Laserfiche, and a homegrown SQL database system. + Coordinates with payroll, tax, and finance teams to ensure timely and accurate payments and reporting. + Partners with the quality team to implement regular audits and continuous improvement projects. + Provides exemplary customer service to iLIFE’s customers, including but not limited to individual workers, + provider agencies, case management groups, and government agencies. + Creates and keeps track of KPIs to ensure the efficiency of business operations and create and implement + changes or improvements when necessary. + Other duties as assigned **Supervisory Responsibilities:** + Performs human resources responsibilities for employees which includes onboarding, training, coaching on performance, completes performance reviews and overall employee morale. Recommends hiring, terminations, compensation changes, promotions, corrective action decisions and terminations. Reviews and approves accurate report of time. + Responsible for ensuring that personal actions, and actions of employees supervised, comply with the policies, regulations, and laws applicable to the program funders, contracts, and CFI business. **Qualifications** **Required Education, Experience, Certifications, Licensure and Credentials:** (Where appropriate, education and/or experience may be substituted) **Minimum Required Education:** Bachelor’s Degree or a High School Diploma and an equivalent combination of training and experience. **Minimum Required Experience:** Minimum of 4 years of experience in supervisory capacity working in payment processing operations or similar finance background; experience working with timesheets and claims **Travel Type:** Less than 10% **Knowledge – Skills – Abilities:** + Experience and knowledge of high-volume payment processing operations + A demonstrated sound work ethic with a commitment to 100% payroll accuracy + Ability to adapt quickly to change and shifting priorities + Strong attention to detail + Engage and work collaboratively with all levels of personnel within the company to achieve common goals. + Excellent verbal and written communication skills. Ability to effectively communicate complex thoughts and directions over the telephone, by computer and in person. + Maintain confidentiality and comply with the Health Insurance Portability and Accountability Act (HIPAA). + Preference for leaders with Six Sigma, PMP or other related certifications. **Physical Requirements, Visual Acuity, and Work Conditions:** **Physical Requirements:** Work is performed largely in a fast paced, and at times stressful, office environment utilizing various office equipment including, but not limited to, a personal computer, copy machine, fax machine, and multi-line phone. **Visual Acuity** : The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal. **Working Conditions** : None: The worker is not substantially exposed to adverse environmental conditions. Hours of work will generally be Monday through Friday during regular iLIFE business hours and average at least 40 hours a week with additional evening and weekend hours as business needs dictate.
