The Role
The Payroll Manager is responsible for overseeing the comprehensive payroll process across multiple states, ensuring compliance with all relevant regulations, and maintaining the accuracy and timeliness of payroll activities. This role involves coordinating with internal teams, managing third-party vendors, and providing leadership and support to the payroll team.
Key Responsibilities:
Coordinate weekly and biweekly, multi-state employer payroll processes, ensuring all payroll and tax submission deadlines are met. Implement and perform audit procedures to ensure the accuracy of all payroll processes. Review and supervise off-cycle payroll activities to ensure timeliness and accuracy. Ensure timely and accurate executive compensation payroll processes, including bonus and stock grant processing. Ensure company compliance with all applicable federal, state, and local wage regulations. Resolve payroll team employee relation issues, provide developmental support to subordinates through coaching, counseling, and training, identify succession candidates, and design career development plans. Coordinate payroll services with internal customers. Maintain knowledge of changes to payroll processing systems and wage and tax laws. Manage third-party tax vendors and provide support for required tax filings. Oversee the preparation and distribution of annual W-2 forms. Coordinate and ensure compliance with the garnishment process. Perform audits on data entered, make appropriate adjustments, verify accuracy of changes based on received paperwork, and resolve discrepancies. Manage the quarterly reconciliation of taxable wages by state for W-2 processing. Conduct annual reconciliation of taxable wages via ADP Smart Compliance before approving W-2s for printing and distribution. Develop and maintain annual payroll schedules and Workday period schedules, and communicate this information to relevant staff. Assist payroll staff with day-to-day tasks and offer expertise as needed. Participate in seminars and other professional development activities to keep payroll expertise current and ensure awareness of changes in payroll practices. Ensure that proper policies, procedures, and internal controls are implemented by the payroll team. Work with the Payroll Director to revise policies and procedures as necessary and ensure changes are communicated to appropriate payroll staff. Seek opportunities for efficiencies and improvements to policies and procedures when appropriate.
Minimum Qualifications:
Education:
Bachelor’s degree preferred OR equivalent payroll leadership experience.
Certification or Licensures:
None required.
APA Membership & CPP certification preferred.
Experience:
At least 4 years in a payroll leadership position required.
Workday payroll and Workday time-tracking working knowledge preferred.
