Alumni Relations and Development (ARD) engages alumni (~220k), current students, parents and friends of the University through intellectual, professional and social activities on campus, around the world and online. ARD raises $600 Million annually to support faculty and researchers, practitioners and patients, and students and programs across the University. Our work supports priorities in every division, school, department, and institute.

Alumni Relations and Development Communications works with partners across ARD and the University to create fundraising and engagement materials for University of Chicago alumni, parents and friends. Within ARD Communications, the Publications team produces several print periodicals, e-newsletters, and other written communications including the flagship University of Chicago Magazine, now in its 116th consecutive volume.


Job Summary
 

This position independently maintains and coordinates large scale editorial and/or publishing projects. Develops proposals and creates project budgets, schedules, and the peer review process. Collaborates with authors to coordinate manuscript elements supplied by many departments.

The Managing Editor for publications oversees the scheduling, processes, and production of ARD Communications magazines and e-newsletters, reviews their content, and shares primary responsibility with each editor for maintaining these publications’ consistently high editorial quality.

Responsibilities

Creates and maintains multiple publication schedules, coordinating the work of writers, editors, designers, and developers. Oversees the print and online operations of the University of Chicago Magazine and the Core College magazine. Manages the creation and production of the e-newsletters College Review, University of Chicago Magazine Prepress Edition, and µChicago. Ensures these publications stay on schedule and works with their editors to maintain a high level of editorial quality and accuracy.Collaborates with the Magazine’s editor to oversee the business of the Magazine, including creating editorial calendars and production schedules; managing advertising sales for the Magazine and the Short List e-newsletter; processing invoices; managing the budget; and working with the printer, post office, and other vendors. Serves as a reader and editor on multiple rounds of all Magazine and Core print and web content, contributing structural and line editing. Serves as an editorial reviewer of UChicago Short List, College Review, Prepress Edition, and UChicago.Manages the on-time online production of the University of Chicago Magazine and the Core. Supports in-house writers in preparing their stories for online publication. Coordinates with the ARD Communications (ARD Comms) digital team to bring an editorial eye to the implementation of website improvements and troubleshooting. Collaborates with the ARD Comms design team to identify and prepare art for online stories as needed.Leads the Magazine’s weekly status meeting and art meeting.Participates in weekly futures meetings, monthly editorial group meetings, and all-staff meetings. Contributes future story ideas and strategic planning for the publications and the department. Serves as a resource for the copy editor, including for updates to the Magazine’s style guide.Seeks opportunities for professional development that will enhance job performance, including building networks within the University and with colleagues at peer institutions. Designs and maintains editing schedules and manages the proofreading, review, and correction of page proofs and additional proof stages.Works directly with writers, editors, and others involved in projects. Ensures the quality of editorial work of others and advises them on the prioritization of assignments. Guides the staff in setting procedures and editing styles and in resolving any other issues that may arise.Performs other related work as needed.


Minimum Qualifications
 

Education:

Minimum requirements include a college or university degree in related field.

Professional editing experience.

 

Technical Skills or Knowledge:

Demonstrated skill and knowledge of, or ability to learn quickly, the internal workings of the University as well as the technology tools available to the Office of Alumni Relations and Development, including Phoenix (the University’s Donor Relationship Management System), Apple computer environment, Adobe Creative Suite, Microsoft Outlook, Word, Excel, PowerPoint, and Access.

Working Conditions

This position has a hybrid work schedule which includes weekly in office presence.Standard office environment.Travel to campus and/or non-campus locations for University business. Work evenings and weekends as needed.This position is located in Hyde Park at 5235 South Harper Court.
