The Material Service Assistant assists the Materials Services Team with administrative functions, including answering the phone; assisting internal and external customers and vendors; following up with vendors regarding product pricing, availability and delivery; entry of purchase orders; and invoicing and billing materials, goods, freight, services and drop-ship charges. In addition, this position maintains accurate and timely data entry in the inventory management systems.

Essential Job Functions

1. Receives reports from purchasing agents, and places stock purchase orders and warehouse stock transfers. Assists team in obtaining pricing and availability for aircraft parts and/or equipment. Sets up new vendor requests as needed. Assists with follow up and expediting order and confirming purchase orders as needed.

2. Provides administrative support to the Material Services Team (i.e. answering phones, taking messages, sorting and distributing mail, creating and revising documents and spreadsheets, filing, etc.). Retrieves copies of documents, packing slips and certifications as requested. Researches the location of these documents and contacting offsite storage companies and vendors.

3. Performs accurate and timely data entry to maintain the inventory management systems.

4. Reviews and invoices drop-ship orders and additional billings, applies flat-freight charges to proper sales orders and work orders, and invoices goods and services.

5. Performs other duties as assigned by management.

Education and Experience

High School graduate or equivalent required One year purchasing, accounting or collections experience, and customer service experience or related experience required Proficiency with general computer skills and Microsoft Software (i.e. Word, Excel, etc.) Basic understanding of accounting principles and practices
