Summary:

Entry Level -BH Materials Operation Specialist I- Warehouse Services: Detail-oriented team member performs a wide variety of supply chain activities, including verifying and receiving all stock, direct order supplies, and routine & capital equipment within the Materials Management Information System (MMIS). The Materials Operation Specialist I performs functions associated with distributing goods and equipment throughout the Baystate Health enterprise. These functions include preparing palletized and flat bed-staged supply orders, loading, unloading, and internally delivering goods & equipment to all sites within Baystate Health. The incumbent also performs the receipt, breakdown, staging, and delivery of all incoming supply orders and equipment to all departments on the Baystate Medical Center (BMC) main campus. The Materials Operation Specialist I expedites incoming STAT orders, with delivery to internal BMC customers within established departmental time parameters. In addition, the Specialist ensures the safe operation and maintenance of the BH Warehouse material management power equipment, including hydraulic lifts, forklifts, and electric pallet jacks.

The Materials Operation Specialist I is expected to have basic computer knowledge and will develop an entry/basic level understanding of the MMIS to work closely within the Warehouse Receiving team, ensuring incoming product flow in support of all internal clinical and non-clinical departmental operations within the Enterprise. Specifically, interfaces with Order Picking staff, Warehouse Drivers, External Delivery and Common Carriers, and Warehouse management on all facets of receiving and validating goods and equipment. Coordinates Stat or Urgent deliveries with Drivers.

 This role is also responsible for maintaining established productivity levels while ensuring quality control for all incoming and outgoing materials and conducting periodic inventories utilizing the MMIS and handheld technologies.

Job Responsibilities: 

1) Develops and maintains a basic/intermediate understanding of the MMIS modules, including Mobile Supply Chain (MSCM), Requisition Center (RQC), Receiving and Delivery (RAD), as well as other modules and functions within the scope of responsibility and job requirements.  Minimal job knowledge of Purchase Order (PO) Inquiry, PO Receiving, PO Receiving Adjustment, PO Inquiry by Item, Item Inquiry, ItemTransaction History, Requisitions by Item, and Item Inquiry by Manufacturer.

2)  Verifies all incoming supply and equipment shipments against courier documents for the correct number of packages and skids and inspects for visual damage. Opens cartons and boxes to inspect for any concealed damage. Counts and matches packing slip information against physical goods for quantity and manufacturer product number.

3)  Receives all orders into the MMIS by utilizing appropriate screens and programs. (Knowledge of basic programs is required in order to obtain material, equipment, and purchasing information while processing receipts)

4)  Accepts and documents all incoming non-PO packages, completes delivery information in Receiving and Delivery (RAD) module receipt log, and affixes delivery ticket and barcode labels to order.  Indicates specific delivery information and stages orders according to priority under department guidelines for STAT, ASAP, TODAY, and ROUTINE delivery.

5)  Facilitates shelving and rotation of replenishment stock in appropriate warehouse locations.  Checks dated products during receiving for expired and short dates. Coordinates questionable dates with MOS II. Participates in routine cycle counts and semi-annual & annual physical inventory for the off-site centralized warehouse utilizing handheld technology

6)  Affixes completed internal paperwork and labels outer packaging with BH specific stock numbers (SN) prior to release of stock for placement into inventory.

7)  Prepares, packs, and ships outgoing supplies and equipment for vendor product  returns and for shipping equipment repairs utilizing the MMIS to obtain and verify product information and to document within the system for appropriate recordkeeping

8)  Unloads Warehouse delivery vehicles at the BMC loading docks and stages orders in the centralized holding space. Separates and breaks down BMC's incoming multi-departmental orders. Completes internal processing, including the staging and delivery of all BMC supply orders and equipment directly to all departments on the main campus. Delivers compressed gasses to appropriate BMC departments as needed.

9) Receives Capital and BH Project related equipment. Coordinates delivery with Purchasing Capital team, Clinical Engineering, BH Project Management, and departmental end-user management. Coordinates recordkeeping with Materials Operation Specialist II.

10)  Interacts with Value Analysis daily on product substitutions specifically for product attributes to ensure appropriate substitutes are received and available for institutional usage

11) Interacts routinely with Inventory Control Coordinators, Purchasing Agents, and other Purchasing staff.  Researches and resolves all customer inquiries in a timely and professional manner.

12) Fields internal customer and external product, equipment, and delivery questions within the scope of responsibility, referring complex issues to the Supervisor for follow-up.

13) Complies with Department of Public Health (DPH) regulatory agency requirements, rules, and regulations regarding storage, handling, and accounting principles for routine stock, equipment, and controlled products

14) Maintains accuracy level (monitored by management) within parameters for Material Operation Specialist I

15) Maintains work area in a clean and orderly condition in accordance with facility and departmental policies and guidelines.

16) Demonstrates a commitment to Organizational Service Standards and Operating Principles of Trust, Respect, Integrity, Communication and Collaboration

Required Work Experience: 

Must have a minimum of 1 year of Supply Chain or related experience.

Basic experience with computer systems is required.

Preferred Work Experience: 

3 years of Warehouse/Logistics background is preferred. Direct Receiving experience preferred. Handheld inventory technology experience preferred.

Skills and Competencies: 

Strong verbal and written communication skills and the ability to interact courteously and effectively with internal BH customers, vendor delivery persons, and coworkers required and performed various activities according to priority and ever-changing day-to-day situations. Basic computer skills and excellent math skills are required. Must possess the ability to make sound judgments and solve problems within the scope of responsibility. Must demonstrate self-initiative and team approach in completing tasks and the ability to work towards defined individual and mutual departmental objectives with minimal supervision
