Under the direction of the Support & Referral Management Services Supervisor, performs a variety of administrative and support duties for all Memorial Behavioral Health facilities.  Provides high-level administrative support to the MBH President and senior leaders for MBH. 

Qualifications

Education:

Associates degree in health services administration or business related field preferred.High School diploma or equivalent required.

 

Licensure/Certification/Registry:

Must possess a valid IL driver’s license and must be deemed as an acceptable driver in accordance with the MHS Fleet Safety Policy.

 

Experience:

Three (3) years of general office and/or administrative setting experience required. Responsibilities Ensures agency’s goals and objectives are maintained.

 

Coordinates the MBH President’s daily schedule, as well as key leadership, as requested. Make travel arrangements, as necessary.

 

In conjunction with the MBH President, identify and compile data for timely report creation for MBH Board of Directors and the MHS President’s & Operational reports for the MHS Board of Directors. Prepare bi-monthly Board reports.  Works directly with the MBH Board of Directors to ensure all requirements of the Board are met on an annual basis.  Prepares, organizes and takes meeting minutes for the MBH Board of Directors meetings.

 

Actively supports the Quality, Safety and Regulatory functions of the agency by assisting the MBH Supervisor, Support & Referral Management Services with maintaining agency contracts, licensure renewals, policies and accrediting processes.

 

Maintains administrative files including vehicle inspections and maintenance, facility inspections, agency licensures and all other administrative related documents.

 

Attends and records Management, Administrative, Board Meetings and any other meetings as requested by the MBH President or key leadership.

 

Provides assistance and support to the MBH Supervisor, Support & Referral Management Services, including preparing quality reports, maintaining operational databases and provide coverage for support staff, when necessary.

 

Answers the telephone for agency and provide answers to routine questions, obtain information when needed, direct calls to appropriate individuals or departments, which includes our partner SIU Center for Family Medicine and the Integrated Wellness Clinic.

 

Prepares correspondence and special typing requests as directed by the MBH President or key leadership.

 

Maintains schedules of MBH conference rooms and interview rooms.

 

Actively participates in the MBH Forms Committee.

 

Reviews, sorts & disperses agency mail on a daily basis.

 

Provides direct support for all agency events, including arranging supplies, power point presentations, food, etc.

 

Completes weekly deposit for 8th

 

Obtains & provides notary support for MBH.

 

Obtains & manages agency credit card.

 

Performs other related work as required or
