The Media Assistant assists in coordinating, updating and maintaining all accounts from inception to completion. This position works closely with buyers, networks and advertising agencies/clients to aid in the execution and maintenance of Direct Response media placements.
Responsibilities
• Assist team of buyers in gathering rates and inventory availability from networks
• Maintain up-to-date media representative list inclusive of name, phone, email and fax information
• Send orders to designated media representatives for approved activity and then follow up as appropriate to ensure written confirmations are received
• Complete Control Sheets for both Local and National stations/networks as requested by the coordinator
• Prepare and maintain monthly programming grid folders by requesting updated grids from the networks on a regular basis
Populate missing programming information into weekly post log reports and final post data using grids provided by networks• Complete program schedules and post log reports for clients’ as needed
• Obtain and check all pre and post log times received from the stations are accurate
Monitor media placement to ensure fair and equitable rotation across all units placedFollow up with sales reps and assistants on a daily basis for updated pre-logs via phone & email• Request and confirm accuracy of local market contracts including trade deal usage
• Assist team of buyers with entry of rates and buylines into CoreMedia System (“CORE Direct”).
• Open job estimates in CORE Direct, MediaOcean and PeopleSoft.
• Input direct response schedules into MediaOcean and/or PeopleSoft.
Generate internal pre-log charts comparing ordered versus scheduled air timesNotify buyers/campaign managers of networks experiencing pre-emptions
Update on a daily basis for each network/client
• Compile client pre-log times and input into expected format for all clients requesting
• Reconcile local air times in Direct Manager on a weekly basis with support from Coordinator & Buyer
• Aid coordinators with meeting deadlines on a monthly basis including local and national invoice reconciliation
• Support coordinators, supervisors & buyers with ad hoc projects/tasks
• Create, send, and save credit memos and emails to reps in proper client folders
• Participate in and work on ad hoc projects as assigned.
Supervisory Responsibilities

The salary range for this position is $40,000 - $43,000. The successful candidate’s salary will depend on actual ranges of current employees in the subject position, market considerations, budgetary considerations, geography, as well as the candidate’s skill set, level of experience, and qualifications. Qualifications
Bachelor’s degree preferred or equivalent experience is required.
Proficiency in Microsoft Word and Excel required.
Up to one year related experience preferably in an administrative and/or media capacity in a corporate environment is preferred.
Experience in MediaOcean, CORE Direct and PeopleSoft media systems preferred.
Travel
This position does not require regularly scheduled travel.
