Practice and promotes the agency’s mission statement in every interaction. Provide ongoing support to people in becoming active participants in every aspect of their lives and to ensure that a high quality of life is maintained. Provide secretarial support to the Medical Department by maintenance and coordination of all Medical Appointments in compliance with OPWDD Regulations. Completes scheduling of all medical appointments for the residents with outside specialists, general practitioner, and the Article 28 Advantage Care Clinic. Responsible for all Resident filing in their Medical Record books, maintain and develop tracking systems of Medical Appointments completed and scheduled, ordering supplies, copying, general faxing, mailing of consents for procedures and annual vaccinations, and necessary ordering of medical supplies, as well as ordering of office supplies, training of the new nurses on basic computer skills, and answering the telephone. Assists other secretarial staff in the absence of any secretary (i.e. switchboard responsibility for the ICF). Receive, verify insurance and see that payment is made on Medical Services billed to the residents. Responsible for completion of any special assignments assigned by the Nursing Coordinator.

Qualifications:

One (1) year secretarial and administrative assistance experience. Good oral and written communication skills required. Excellent organizational skills a plus Prior experience in medical office/hospital environment preferred.  Proficient in all Microsoft Suite applications required Prior experience in an OPWDD facility preferred

 Provides full medical support to the Medical Department by scheduling and confirming all necessary Medical Appointments with primary physicians, specialists, and the Article 28 Advantage Care Clinic, as well as maintaining, developing, an on-going tracking all Medical appointments completed and scheduled to assure, and maintain compliance with OPWDD ICF Regulations Maintaining and developing a weekly Medical Appointment Calendar for the ICF staff, as well as utilization of the Academic Computer system for scheduling and tracking of all Article 28 appointments. Also monthly meeting with nurses to check tracking book Completes all necessary daily faxing, completes all copying, answering of telephone, mailing of consents, filing, assisting other secretarial staff when needed Med Data for Citizens ICF Reports and documents any events/activities that may hinder the health, safety and well-being of the person that resides there (i.e., allegations of abuse, injuries, broken equipment etc. Reports to Justice Center as a mandated reporter if there is reasonable cause to suspect  abuse or neglect. Additionally, must follow all agency incident policy and procedures.
