Medical Assistant Receptionist

Under general supervision, and according to established policies and procedures, will provide excellent patient by performing or assisting in a variety of medical procedures and tests to assist in the examination and treatment of patients, including but not limited to vital signs, procedures, various treatment, administering injections and venipuncture. Provides excellent customer service by greeting patients, answering the phone and directing the caller as appropriate. Performs duties across all physician practices, patient registration, scheduling appointments, collecting insurance co-pays and deductibles, insurance verification, records financial activity and accounts for all transactions completed on each shift.  

Essential Functions and Responsibilities: 

Performs to service excellence standards: Responds promptly, professionally and courteously to all customers’ needs. Cooperates and communicates effectively with all patients, families and staff. Contributes to continuous quality improvement efforts. Prepares examining rooms including turning on computer terminals and stocks room with supplies. Organizes forms for physicals, etc. Works collaboratively with provider to assists in providing care to patients: Collect patient’s history. Prepares patient and necessary equipment/supplies for visit. Documents all interventions, patient/family responses, medication dispensed or prescribed, vital signs, etc. in patient chart and/or computer system. Administers EKGs, PFTs, immunizations, medicines, draws blood, etc. as directed. Obtains approval for and phones in prescriptions as directed. Completes lab slips and referral forms as directed. Assists with routine procedures for gynecological exams, physicals, and office visits, etc. With focus on customer service, takes telephone messages from patients, returns messages, and provides information to others as requested/directed. Functions collaboratively with all staff to ensure continuity of care. Assists and escorts patients as needed to exam rooms and onto/off from exam tables. As needed, provides for the age specific needs of the population served according to departmental standards, as evidenced by observation, documentation, and feedback. Registers patients in the computer upon their arrival, ensuring that all demographic and insurance information is current and accurate for appropriate claims filing. As appropriate, codes appropriate diagnosis and procedures based on the daily encounter form completed by the physician/provider upon the patient departure. Scans, files, process medical records according to practice guidelines. Retrieves medical records for patient visits, correspondence, telephone messages, and to meet the needs of the physician provider. Prepares all patient medical records for visit per practice guidelines. Collects payments to cover co-payments, deductibles and other appropriate fees from the patient prior to their departure. Schedules patient appointments, within the office and makes necessary follow-up calls and/or sends out appointment reminder cards. Runs all necessary reports and completes sign off procedures at the end of the shift. Maintains current knowledge on insurance/coding information via communication with the Manager and billing office. Develops and maintains knowledge regarding the billing system, scheduling, collections, etc. Maintains effective verbal and nonverbal communications with staff and patients including: Receives, documents and delivers telephone and other verbal messages, professionally, courteously and promptly to appropriate personnel, per practice guideline. Serves as primary information resource for all clerical aspects of office operation. Organizes time and prioritizes effectively. Maintains strict confidentiality related to patient information. Regular and punctual attendance. Adheres to infection control/safety guidelines and maintains accreditation standards. Performs other related duties as assigned.

Required:

High school diploma or equivalent and six months experience as a medical assistant.

OR

High school diploma or equivalent and completion of one of the following programs: medical assistant, emergency medical technician, nurse assistant, licensed practical nurse or armed services medic program.

Preferred:

Certified Medical Assistant. American Heart Association (AHA) BLS Certification. May be required at management discretion. Electronic medical record experience. Experience with insurance billing procedures. One-year experience working in medical office with multiple providers. Previous experience working in a medical office of the same specialty.
