Medical Education Program Coordinator

The Office of Medical Education in the School of Medicine at the University of Virginia seeks a Medical Education Program Coordinator to complement our existing team. The successful candidate will be highly organized, attentive to detail, self-motivated, and possess the ability to work independently as well as contribute to a high-performing team. The Coordinator provides administrative support to medical education curriculum for MD students. The Coordinator participates in the planning, preparation, and implementation of programs, daily operations, and educational activities for phase-based coursework.

Typical duties include:

Assist with the planning, preparation, implementation, and evaluation of educational experiences.

Assist with the preparation, processing, and maintenance of instructional materials, assessments, and course information. Prepare and disseminate course materials and reports.

Provide on-site operational support before, during, and after class and labs to faculty and students.

Reserve educational spaces and appropriate AV/IT.

Disseminate course and scheduling information to students, staff, and faculty.

Respond to course and program questions from students, staff, and faculty, providing quality administrative support while maintaining high standards of the curriculum, with an eye towards continuous improvement.

Maintain course information, room scheduling, student data, assessments, and evaluations in appropriate websites, software, and databases.

Schedule individual, committee, workgroup, team meetings, and student assessment reviews.

Enter accurate and timely data in Resource Scheduler, VMED, and OASIS.

Consult with Course Directors on program logistics to include attendance numbers, ordering meals for events, and event setup.

Prepare and process purchase orders and reimbursements.

Track and reconcile course budgets.

Ensure programmatic compliance with internal (e.g., UVA, SOM) and external (e.g., LCME) policies and procedures.

Recruit faculty from across SOM and/or patients to participate in curricular activities.

Perform other administrative duties as requested.

Anticipated hiring range: $21.50/hr ($44,720) - $23.00/hr ($47,840). This is a non-exempt level, full-time, benefited position.

This position is eligible for a hybrid schedule and may occasionally require working some evening hours in support of curricular events.

This position will remain open until filled. This position will not sponsor for work visas. The University will perform background checks on all new hires prior to employment.

MINIMUM REQUIREMENTS
Education: High School Diploma
Experience: Two years of administrative support experience. Bachelor's degree may substitute for experience.
Licensure: None

PREFERENCES:

Education: Bachelor’s degree

Experience: Experience working in higher education, preferably in an academic health care institution and supporting medical education programs/curriculum is preferred. Proficiency in VMED, OASIS, Teams, and Box are preferred.


PHYSICAL DEMANDS:
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
