Description
We're seeking a highly motivated, organized and detail-oriented Executive Assistant/Office Manager to join a team at a prestigious therapy office located in Beverly Hills, California. This position requires professionalism and discretion, as well as the ability to handle tasks simultaneously. This temporary assignment has the potential to turn into a permanent role based on performance.
Responsibilities:
+ Scheduling and coordinating all appointments and meetings, ensuring the calendars are well-managed and organized.
+ Managing all office logistics, including but not limited to supervising office operations, ordering supplies and maintenance of equipment.
+ Welcome and direct patients; answer inquiries in-person or on phone
+ Complying with healthcare law, regulations and HIPAA confidentiality requirements
+ Processing and managing payroll and account receivables/payables
+ Maintaining electronic filing systems, ensuring processes and software are up-to-date and in working order
Requirements
Qualifications:
+ Associates or bachelor's degree preferred
+ At least 3 years' experience as an Executive Assistant or Office Manager. Experience in healthcare or therapy offices is highly desirable.
+ Excellent organizational, multi-tasking, and time-management skills
+ High level of discretion with confidential information
+ Strong knowledge of office procedures and basic accounting processes
+ Proficiency with Microsoft Office Suite (Word, Excel, and PowerPoint)
+ Excellent written and verbal communication skills
+ Self-starter with the ability to work independently with minimal supervision
