We are seeking a dedicated and professional Medical Receptionist to join our fast-growing outpatient gastroenterology practice. The ideal candidate will excel in scheduling appointments, updating patient information, and providing exceptional administrative support to ensure smooth office operations. This role demands excellent communication skills, strong attention to detail, and a warm, inviting demeanor to provide top-notch patient care. This is a full time position with full benefits.
ResponsibilitiesSchedule office visit appointments following policy and scripting.Update insurance and demographic information when scheduling appointments and obtain confirmation.Confirm appointments as assigned following policy.Note 'no-shows' or last-minute cancellations and ensure they are rescheduled.Review registration work queue and correct any incorrect registrations.Ensure all letterhead, forms, etc., handed out are up to date and accurate.Check, request, and document referrals for incoming patients.Monitor and update the waiting list for physicians as required.Provide coverage for check-in, checkout, and procedure scheduling personnel when required.Properly answer incoming phone lines, taking clear and concise messages.Compose, process, and follow-up on electronic phone messages and alerts.Route messages to the correct provider or employee.Utilize EMR to answer quick patient questions appropriate for administrative staff, sign encounters, and close the loop with patients and providers.Sort and deliver mail when required.Sort electronic faxes and assign to appropriate folder.Monitor the schedule of assigned providers, noting and correcting errors as appropriate.Request medical records for incoming patients when required and prepare charts if needed.Assist with courier preparation and distribution as requested.Provide administrative backup in person or virtually at any office or satellite if requested.Assist with general office functions at the request of site supervisors or managers.Provide team support to other staff members to ensure proper patient care and smooth functioning of the office.Verify e-checkin completion or ensure all paperwork is up to date when checking in patients.Ensure the cash drawer is closed every day regardless of the copay source.Encourage MyChart usage and sign-ups for patients not utilizing it.Schedule from the referral work queue to ensure it falls off the work queue.Follow protocols and appropriate workflows to ensure standardization.Essential Skills1-3 years of front-desk, secretary, or scheduling experience.Excellent verbal and written communication skills.Exceptional interpersonal and customer service skills.Strong problem-solving skills.Ability to prioritize and multi-task.Ability to function well in a high-paced and at times stressful environment.Additional Skills & QualificationsGI experience is a huge plus.Medical office experience is a must.Experience with Epic EMR is preferred.Warm and inviting personality.Initiative to ensure all patients are taken care of and work is getting done.Good team player.Work Environment
Busy outpatient GI medical practice. The office is very clean, and no procedures are conducted on-site; all procedures are done at another surgery center. The work schedule is Monday to Friday with 8-hour shifts. Candidates should be open to working between the hours of 8am-5pm and should expect to arrive 15 minutes early for each shift. A 1-hour lunch break is provided. The environment is caring and supportive, aimed at providing remarkable patient experiences.
