This position serves as the liaison between the clinical staff in their assigned area and serves customers both internal and external. DUTIES: The occupation involves technical work concerned with processing orders from the Medical and clinical staff, which includes responsibility for interpreting and verifying provider orders in accordance with VHA National Scheduling Directive guidelines. The work requires practical knowledge of human anatomy, medical terminology, and legal requirements of the medical record. Clear and concise judgment, discretion, customer service, ability to deal with a diverse population, a high degree of tact and negotiating ability are required daily to carry out the functions of the position. Performs scheduling functions for Orthotic and Prosthetics Consults, Prosthetics requests and Return to Clinic orders, following all rules and regulations in regard to the VHA Dir 1230 Outpatient Scheduling Processes and Procedures, Privacy Act, Freedom of Information Act and Health Insurance Portability and Accountability Act. Answers a multitude of telephone calls and records messages pertaining to such things as detailed Prosthetic Consult requests and recognize urgent issues that require referral to the professional staff for immediate action. Shows courtesy, respect, and a positive attitude towards patients, co-workers and the public. Provides front-line assistance to customers with questions or concerns. Arranges/schedules appointments for Veterans at a variety of locations, services and consultants on the Prosthetics requests process, coordinates appointments for timeliness and to avoid conflicts in patient treatment and to meet the schedule of the PSAS. The MSA also manages the daily appointment list which requires scheduling, canceling and processing no-show appointments. Work Schedule: Monday-Friday, 8 hour shift between 7:00am-4:30pm, available shifts will be discussed during the interview. Recruitment Incentive (Sign-on Bonus): Not Authorized Pay: Competitive salary and regular salary increases. When setting pay, a higher step rate of the appropriate grade may be determined after consideration of higher or unique qualifications or special needs of the VA (Above Minimum Rate of the Grade). MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, part II, chapter 3, section A, paragraph 3j Grade Determinations: One year of experience equivalent to the next lower grade level (experience working in a medical or clinic setting, scheduling appointments, referring patients to specialty clinics, collecting insurance documentation, documentation in electronic health records, and advanced medical terminology) or 4 years of education above high school (must provide Transcripts if using Education to qualify) Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate the KSAs below: Ability to operate computerized programs and systems to enter, modify and retrieve sensitive information/data into or from electronic medical records, scheduling systems and/or reports. Advanced knowledge of basic medical terminology specific to understand medical diagnosis and procedures sufficient to communicate clinical staff instructions to patients. Ability to make appointments in a clinical setting. Ability to work independently in the accomplishment of a wide variety of duties, performing patient support work. Ability to communicate effectively and professionally in person, electronically and or by telephone with internal and external customers. Skill in customer service with the ability to identify customer concerns and refer to the appropriate staff, as necessary, to ensure a satisfactory resolution.
