Medical Support Assistant (Advanced)
Summary The incumbent is an integral team member of the Emergency Department health care team within the Minneapolis VA Health Care System (MVAHCS). MVAHCS is a Complexity Level 1A tertiary care facility. S/he provides advanced medical administrative support as part of the team approach for the delivery system for the triage, evaluation, and treatment of patients within the MVAHCS. Responsibilities Major Duties include. Ability to organize work, set priorities, and delegate tasks/responsibilities to meet deadlines. Skill in communicating with individuals to obtain the desired effect, ensuring compliance with established policies and regulations. Ability to provide staff development and training of all new staff to the ED. Ability to manage priorities and coordinate with staff in the unit to complete duties in an accurate and timely manner. This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact of incomplete work. Ability to review and monitor data to ensure all reports are complete and accurate. Works collaboratively in an interdisciplinary coordinated care delivery model in the ED. Provides suggestions and solutions in improving the workflows of the ED. Performs a full range of duties in the Emergency Department assigned at this level include but are not limited to: Working as a liaison between management and staff to ensure efficient and accurate scheduling of outpatient visits and associated tests for patients. Notifies the appropriate staff members of the patients' arrival. Provides staff with appropriate paperwork that is specific for the3 type of Infection Control Flags, Behavioral Flags, and other patient Flags. Assists patients during the check-in process and verifies and updates patient demographics and discussing basic eligibility and out-of-pocket co-pays with patients. Verifies that medical insurance information ais accurate and completed at time of visit. Part of the ED Care Team that communicates with the Charge Nurse and greets ambulance services that arrive with patients and walks them to a patient exam room. Gets registration information from the patient or ambulance staff to appropriately register the patient to the ED. Confirms demographics and emergency contact information as well. The ED MSA assists the charge nurse and other staff in keeping the EDIS board updated it to include patient location, doctor responsible for the patient, and critical information in comments section, while monitoring patient status including anticipated disposition in EDIS. Proves on-the-job training for any new and current MSAs to promote consistency, excellence, and adherence to standards. Acts as a preceptor to newly hired ED staff hired as needed. Demonstrates advanced knowledge of medical procedures, medical terminology, and acronyms, and other unique laboratory requirements of an Emergency Department and how they are ordered in the computer. Cancels appointments for patients leaving against medical advice, or schedules a patient's follow up appointment with a medical or surgical care specialty clinic as appropriate. Assists with monitoring input of order entry for lab and imaging testing, outpatient, and inpatient care consults, verifies accuracy of provider orders. Grade Determinations: Medical Support Assistant (Advanced) GS-6 Experience: One year of experience equivalent to the GS-5 grade level, which includes, but not limited to: Ability to operate computerized programs and systems in order to enter, modify, and retrieve sensitive medical and patient identifying information (PII) into or from electronic health records, scheduling systems, and/or reports; Advanced knowledge of medical terminology specific to understand medical diagnosis and procedures sufficient to communicate clinical staff instructions to patients; Ability to schedule medical appointments in a clinical setting; Ability to work independently in the accomplishment of a wide variety of duties performing patient support work; Ability to communicate effectively and professionally in person, electronically, and/or by telephone, with internal and external customers; and Skill in customer service with the ability to identify customer concerns, and refer to the appropriate staff, as necessary, to ensure a satisfactory resolution. Candidates must demonstrate all of the KSAs below: Ability to collaborate and communicate with a wide range of medical clinicians across multiple disciplines (e.g. medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacists, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met. Ability to independently set priorities and organize work to meet deadlines, ensuring compliance with established processes, policies, and regulations. Ability to communicate tactfully and effectively, electronically, by phone, in person, and in writing, with internal and external customers. This may include preparing reports in various formats and presenting data to various organizational levels, as well as resolving patient concerns. Advanced knowledge of the technical health care process (including, but not limited to, scheduling across interdisciplinary coordinated care delivery and/or care in the community models and patient health care portals) as it relates to access to care. Advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community operational activities that affect patient flow, and patient support care [administrative functions] to include, but not limited to appointment cycles, outside patient referrals, follow-up care, overbooking, provider availability, etc. Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians.
