MEETING & EVENT PLANNER JOB DESCRIPTION

We are seeking a highly organized and detail-oriented Meetings and Events Planner to join our team. The ideal candidate will be responsible for planning, coordinating, and executing a variety of corporate meetings, conferences, and events, ensuring a seamless experience for attendees and stakeholders. This position requires excellent communication, project management, and negotiation skills, as well as the ability to work under pressure while maintaining attention to detail.

Responsibilities:

This position sits on the meetings & events team and will report to a Meetings & Events ManagerThis role is key to planning and executing all major DaVita meetings and events, ensuring their successful deliveryMeetings & Events Planner is responsible for bringing the ideas of DaVita senior leaders into fruition and strategically developing meetings and events that support key business initiatives and deliver high-quality experiencesResponsibilities include but are not limited to:Build & manage on-line registration sites and communications in Cvent Manage the RFP process and contract negotiations for hotels, conference centers, destination management companies, production companies, transportation companies, and other miscellaneous vendorsManage event logistics including rooming lists, F&B, BEOs, AV, schedules, presenters, transportation, event material shipping, etc.Initiates development of project plan(s) for individual areas of ownership with minimal oversightRespond in timely manner to all inquiries and requests from event attendeesEffectively interface with a diverse group of internal and external personnel including senior management, stakeholders, etc.On-site execution to include management of all the above focused on the attendee experience and service excellencePost-event duties, including reporting and reconciliation, post-event communications and survey, invoice reconciliation, charge backs and expense analysis, suggest recommendations for continuous improvement and increasing cost/process efficienciesOutside of key large meeting, partner with internal teams to develop requests for proposals for their small meetings - work with third party on property sourcing, develop recommendation parameters and guidance on contract terms

Qualifications:

Must live in the Denver, CO area, hybrid work environmentBachelor's degree preferredMinimum of two (2) year’s event planning/coordination experience required, hotel experience preferredMust have experience executing events from beginning to end, full process including post-meeting reconciliation and wrap upMust be able to execute within deadlines and budgetsProficiency in MS Office suite including Word, Excel, PowerPoint, and OutlookExperience with registration software required, Cvent experience preferredTravel Required, approximately 10%Must be able to perform in a fast-paced, continuously evolving environment and collaborate in a team environmentAbility to manage heavy correspondenceCertified Meeting Professional (CMP) Accreditation a plus, but not required

Salary/ Wage Range

$56,500.00 - $68,000.00 / year

Compensation for the role will depend on a number of factors, including a candidate’s qualifications, skills, competencies and experience and may fall outside of the range shown.
