SUMMARY
The Meeting & Sales Coordinator will provide business support to our event services team and developing business relationships. They are also responsible for providing the best possible customer service in all aspects of the department’s contact with internal and external clients. They must be able to work independently, multitask on a consistent basis and professional phone/email etiquette is required at all times.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Primary duties and responsibilities include, but are not limited to, the following:
Maintain guest accounts to ensure correct/current information at all times. Set-up functions for new account and create SalesForce- Delphi accounts.
Assist in drafting banquet event orders
Host site visits, property tours and tastings for clients
Create/maintain banquet checks
Attend on-property and off-property community and networking events to assist in business development for Event Sales.
Solicit via email, phone and in-person to companies and clients for future business opportunities
Communicate with Sales Managers and other departments to attend to guest needs.
Build/maintain relationships with clients (i.e. information on birthday and special events)
Handle guest services such as mail, faxes, room keys, amenities, etc. Provide answers to a variety of questions from hotel guests.
Coordinate and confirm site visits for events (including but not limited to weddings, social events, etc.)
Assist with the coordination of detailing events.
Ensure client satisfaction while assists in achieving a maximum profit for the hotel and Meeting & Events department.
Any other duties as assigned within the scope of this position.
KNOWLEDGE/SKILLS/ABILITIES
Organized and manage time efficiently.
Must be self-motivated, good organizational skills, customer service oriented, have flexibility and communication skills.
Excellent computer skills including Word, Excel, and Knowledge of Salesforce, AS400 - LMS, and hotel background is preferred.
Must be personable with exemplary customer service skills, pro-active and a team player.
Ability of complex reading, writing, and task completion skills as well as simple math skills is required.
Must have the following skills: clerical, compiling, coordination, analyzing, instructing, precision working, following instructions, influencing others, memorization, problem solving, independent judgment, and decision making.
Flexible to work all shifts including holidays, nights, and weekend hours as business needs dictate.
Must be a minimum of 21 years of age.
EDUCATION and/or EXPERIENCE
Minimum 3 years’ of experience in clerical and/or administrative functions is required or any combination of education, training, or experience that provides the required knowledge, skills, and abilities.
Sales experience is preferred.
PHYSICAL DEMANDS
While performing the duties of this job, the team member is constantly sitting, standing, and walking; occasionally reaching overhead, bending over, crouching, and kneeling during the duration of their shift.
Must be able to lift/carry 50lbs or less.
Team member will occasionally need to drive personal vehicle.
The team member will constantly have repetitive use of both hands and require occasional light and firm/strong grasping motions. Finger dexterity of both hands will be occasionally required.
Constant use of vision abilities is required including distance, depth perception, field of vision, and color vision.

WORK ENVIRONMENT
Work performed consistently indoors alone and frequently with and around others. Team Member will perform work face-to-face including verbal contact with others on extended shifts around computer equipment and moving objects in possible confined areas.
The noise level in the work environment is usually moderate.
Team Member may be exposed to odor and/or secondhand smoke.

Share
