Key Responsibilities
Membership Concierge Welcome all visitors warmly, ensuring a courteous and professional experience. Handle guest inquiries, direct calls appropriately, and provide assistance as needed. Provide clerical support for departments, including tasks like typing, copying, filing, drafting correspondence, and preparing mail. Manage member reservations for events and dining. Respond promptly to member inquiries via email and via our texting platform, Zingle. Sort and distribute mail for departments. Order and maintain office supplies for the front desk and other departments. Ensure the front desk and copy room are organized and clean. Coordinate maintenance of copy room equipment. Assist the Director of Administration with Cottage packets and amenity baskets. Oversee and optimize front desk processes, implementing improvements based on membership needs. Perform other duties as assigned. Events Coordinator Support the Event & Sales Manager in booking meeting details and managing Banquet Event Orders (BEO) through our Event Management platform, EventPro. Assist with wedding inquiries and track the progress of prospective clients. Coordinate event details, including name tags, place cards, table tents, menus, and table assignments, to enhance guest experience and align with event themes. Perform additional duties as needed. Reports to: Director of Administration Services
Qualifications
Minimum Requirements High school diploma: college degree preferred. At least one (1) year of administrative experience, or an equivalent combination of education and experience. Prior event experience preferred but not mandatory. Additional Skills Proficient in English for job-related tasks. Competency in Microsoft Office and Adobe. Ability to learn additional platforms including Jonas, Open Table, and EventPro. Consistent and dependable attendance. Hours Monday – Friday, 9 am–5 pmExceptional benefits for full-time associates are available on the 1st of the month following the date of hire through the Troon organization.
