Memberships & HOA Coordinator (Temporary/Seasonal)

Responsibilities This position will be responsible for administrative support to both the Membership team and Home Owners Operations Leadership team. Demonstrating exceptional customer service, and follow-up skills, the Memberships and Operations Coordinator interfaces with guests, staff and visitors. This position reports to the Managing Director and Membership Manager. PLEASE NOTE: THIS IS A TEMPORARY/SEASONAL POSITION EXPECTED TO START ASAP AND TO END AROUND APRIL 2025. YOU WILL BE GIVEN 30 DAYS NOTICE OF END DATE. Responsibilities: Administrative: Performs a dynamic variety of administrative duties including, but not limited to, answering phones, directing calls to the appropriate person, taking reservation calls, creating reservations, sending confirmations and updating the member database departmental scheduling, managing travel schedules and completing expense reports, composing/typing and distributing e-mail messages, memoranda or other correspondence, photocopying, faxing, sorting/sending mail and coordinating deliveries. Update homeowner mailboxes, reference maps and lists as homes are sold, upload information to online reference guide. Filing, data entry, simple data processing, and basic invoicing and reporting, and departmental ordering and purchasing. Supports systems in place to track membership satisfaction, membership usage, billing opportunities. Assisting homeowners with their requests as needed and acting as a liaison to those departments needed to ensure the owner needs are met. Must be able to take accurate and concise meeting minutes. Advanced Support: Handles confidential and non-routine information and interprets guidelines, procedures, protocols, policies and practices when necessary. Complex Reports: Produces often confidential and complex reports and documents for senior leadership tracking specific metrics, revenue data, promotional materials and other special projects. Professional Execution: Interfaces with guests, staff and visitors to successfully complete assigned duties to include membership arrivals and departures, owner arrival and departures, database updates, completion of confirmation letters, creation of reservations and executing accurate and concise meeting minutes. Documentation: Uses Microsoft Office software (primarily Word, Excel, PowerPoint, Outlook and Teams) to prepare various work assignments including those that require basic and/or advanced document formatting. Uses OPERA, CRM, Book4Time systems, RezQUE. Qualifications Limited experience required (1-2 years previous experience in same or related field). Associate degree or two-year equivalent specialized training or experience required. Valid driver's license with a clean driving record. It will be great to have industry related experience, but it's not required. However, you will need to have 2 or more years of progressively responsible administrative experience involving the office equipment such as facsimiles, copiers, and multi-line telephones. One year of sales environment experience is preferred. You will want to have experience using Outlook. You will need to be a team player within the department and with other departments, with an ability to work independently and professionally. You will need to be able to communicate with effective written and verbal skills with all positions within the company.
