Mental Health Operations Coordinator
The Mental Health Operations Coordinator assists in the daily operations of the outpatient mental health service line. Duties include, but are not limited to, providing support to the Practice Administrator, Clinical Manager, Lead Physician/Chair of Psychiatry, and the mental health Supervisors of Psychiatry. Other duties include staffing coordination of the outpatient leadership staff and the operational/administrative needs of the outpatient departments. EDUCATION AND EXPERIENCE REQUIREMENTS: Education: bachelor’s degree with office support and/or mental health experience preferred. Associate’s degree will be considered with at least 3-5 years’ experience in mental health and/or office support. PRIMARY RESPONSIBILITIES OF THE POSITION: + Assists with organizing medical records for subpoenas. + Will collaborate with Ellis’s legal team, Nixon & Peabody, to ensure validity of subpoena. + Will bring subpoena to appropriate court/county clerk, or mail subpoena + Assists with collecting and organizing data for monthly Dashboards + Assists with collecting and organizing data for Utilization Review + Responsible for assisting in the collaboration between agencies, including but not limited to: + OMH + ACT + SPOA + RSS + Schenectady County + 730s + Subpoenas and court appearances + Collaborates with Inpatient Mental Health Operations Coordinator to collect and record on-call dates/rates and send data to SPHP. + Monitors psychiatry CME and time off for SPHPMA + Organizes, sets up and sends out meeting invites, creates/maintains agendas, manages attendee list and facilitates conference room audio/visual for regular and ad hoc meetings, and records meeting minutes-including but not limited to: + PI Meetings + Outpatient Leadership Meetings + Provider Meetings + Monthly Provider Department Meeting + Department/Clinic staff meetings + Assist with API Time keeping + For Support Staff + Keeps track of staff late punches and absences and reports them to Practice Administrator + Reviewing timecards with Practice Administrator and approving them when signed off + Assist with Kronos timekeeping + Reminding all SPHPMA staff to maintain timecards + Verifies time off and reports it back to Practice Administrator + Assists with organizing prescriber schedules + Responsible for accurate record keeping of staffing related materials. + Assists with Joint Commission Readiness, including but not limited to: + Weekly Sweeps + Hand Hygiene’s + Maintains and Updates Huddle Boards + Assist with research + Assists with projects + Responsible for taking lead on projects, meetings, initiatives administrative in nature, assisted by Outpatient Leadership + Performs other duties as assigned PHYSICAL REQUIREMENTS: Should be able to push/pull, lift/move 35 lb., be able to perform moderately difficult manual manipulations such as using a keyboard, writing, and filing for extended periods of time, must be able to perform tasks which require hand-eye coordination such as data entry, typing and using photo copiers. Mobility requirements may include the ability to be stationary at a workstation for a prolonged period time in addition to being able to squat or be mobile for a reasonable length of time and distance. Communication requirements include the ability to comprehend the spoken English language in addition to being able to communicate and read the English language. Salary Range: $23.40-33.93 /hour Pay is based on experience, skills, and education. Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates. The pay range may also vary within the stated range based on location.
