Job Summary: The role involves providing administrative support to the Buying teams, primarily focused on data entry tasks related to one or more merchandise departments.Duties and Responsibilities:- Execute data entry tasks, including but not limited to, setting up new items, processing price changes, maintaining item records, and managing returns to vendors (RTVs).- Prepare and submit item induction templates, while maintaining UPC files and master stock assortments.- Generate purchase orders, ensuring order quantities are accurate and confirmed.- Track purchase orders, making informed decisions regarding changes in shipping timelines and the cancellation of back orders.- Independently resolve shipping and billing discrepancies by liaising with the accounting department as needed.- Analyze receiving reports and communicate with vendors or store receiving departments to address delays and errors in shipments.- Negotiate pricing and supplier support, which may include cooperative advertising, freight concessions, minimum order sizes, in-store vendor support, and allowances as required.- Assist in the preparation and execution of model stock plans and seasonal buying plans.- Contribute to the historical analysis necessary for developing buying plans and making purchasing commitments.- Monitor basic stock assortments for additions and deletions, initiate interstore transfers, and manage returns of both merchandise to the warehouse and overstocked items to vendors.- Support decision-making regarding substitutions, over shipments, chargebacks, and price discrepancies while negotiating with vendors for return authorizations on discontinued or deleted products.- Address inquiries and collaborate closely with vendors and exchanges to resolve issues, facilitating effective communication concerning stock assortments, merchandise availability, sales events, and vendor support.- Ensure that Navy Exchanges receive comprehensive merchandising information relevant to assigned departments or merchandise classifications.- Aid in preparing master stock assortments, category reviews, and planograms for designated departments.- Participate in vendor meetings, assisting with assortment selection and planogram development.- Support the preparation of advertising materials, cooperative forms, worksheets, and retail price changes, while securing necessary samples, particularly in connection with corporate promotional events.- Generate system reports as needed for review and analysis.- Engage in functional training for assigned departments as required, maintaining proficiency in internal computer systems.- Stay informed about current industry market trends relevant to assigned departments.- Operate under the general supervision of a Buyer, demonstrating a high degree of independence, judgment, and initiative in decision-making and commitments.- Maintain regular communication with other members of the buying and planning teams, as well as internal departments, vendors, distribution centers, and retail locations.- Perform additional related duties as assigned.
