PURPOSE AND SUMMARY STATEMENT

 

Supervises appropriate functions of daily office operations and performs various office duties.  Creates a seamless office structure that can be replicated across the company.

 

SUPERVISION AND LEADERSHIP

 

Supervises and provides leadership to customer service employees.

 

ESSENTIAL JOB FUNCTIONS

 

Manage, train (in conjunction with Inventory & Customer Service Training Manager) and evaluate performance of customer service staff at all Northern Farm Seed Locations.

Schedules employees to ensure offices are running efficiently and are staffed appropriately.

Supervises billing within the office and coordinates an improved procedure to keep billing current and inventory up to date.

Maintains price lists and works alongside the Farm Seed Business Manager and Marketing Dept to update those lists and ensure they are current and distributed to staff and customers.

Manage and oversee all work orders for custom mixes and package change requests and coordinates with the office and warehouse staff on those needs.

Communicates with customer, TFM’s and Logistics to answer questions, take orders and address complaints.

Build and maintain strong relationships between customers, TFM’s and Seedway Staff.

Delegate tasks to Customer service team to maintain office efficiency.

Is responsible to hire customer service team members, train to a highly functioning level, and is responsible for termination of any non-functioning customer service representatives.

Helps enter orders and maintains customer satisfaction through quality decision making and communication.

Manages and oversees the accurate application of programs, discounts, and rebates, as well as charges to customers’ accounts

Monitors and oversees all GPOS and trait information for the Northern Farm Seed Group.

Follows necessary procedures required to efficiently process order information related to credit status, acknowledgements, product, and price verification.

Performs activities and follows procedures to organize, supplement and process incoming work, enters orders from mail-ins, internet, faxed in and walk in customers.

Operates office machines such as photocopiers, printers, and personal computers.

Maintains filing systems and helps to make necessary improvements.

 

OTHER JOB FUNCTIONS

 

Follows GROWMARK’s Code of Conduct and Corporate Compliance Program, Environmental Health and Safety, OSHA and DOT policies and procedures, as they apply.

Performs all other duties as assigned.

Engages in limited travel when necessary.

 

REQUIREMENTS

 

Normally requires an associate degree, and 1 – 3 years or more of clerical related work experience to demonstrate knowledge of professional communication skills, typing proficiency and Microsoft Office programs.

Must have and maintain a valid driver’s license and satisfactory driving record.

Demonstrates essential abilities including business knowledge, collaboration, communication, customer focus, decision making and skill development.

Ability and willingness to participate in required training that may include education on GROWMARK’s policies and procedures and additional training as it relates to the requirements of the position.
