Major Responsibilities:
Operations
2)Knowledgeable regarding specific commercial and medicaid insurance plans with which the Dental Center participates. Stays abreast of changes in requirements and regulations. Knowledgeable regarding preauthorization, documentation and all other requirements for participations. Ensures that systems are in place to effectively handle all reporting and documentation relative to reimbursement.
6)Maintains current knowledge necessary for management regarding computer systems, billing, insurance, state and federal laws, dental assessment/treatment, scheduling and all other functions related to dental care delivery.
7)Participates in short and long term planning. Plans for the needs of the area in conjunction with the Chairman, Residency Director and Operations Director.
8)Establishes staffing requirements with the Director. Plans for appropriate utilization of human resources.
9)Prepares the weekly clinic schedule to ensure adequate dental assistant and and front office support for 9 dental residents, 4 employed and 5 timeshare dentists. Assigns dental assistant staff to work in the OR to cover dentists treating patients through Same Day Surgery.
1)Responsible for managing all center support expenses and cost reduction activities for the Dental Care, Mobile Dentistry, Special Patient Dentistry and Timeshare Programs.
10)Monitors quality of patient care and patient satisfaction; oversees implementation of measures to improve both. Reviews charts for documentation compliance of quality indicators. This includes required time-outs before procedures, sterilization checks, vital signs taking, etc. Develops and implements policies and procedures to assure effective and efficient operations consistent with IMMC/Advocate Health Care philosophy, policies and procedures. Ensures compliance with all regulatory agency standards i.e. federal, state, city, FDA, Accrediting Organization, OSHA and all center policies and procedures. Develops, monitors and analyzes CQI projects. Conducts special projects and studies related to area activities, goals or objectives. Has thorough knowledge regarding all work processes within the Dental Center. Ensures and oversees appropriate and compliant billing and collection practices for all professional and technical services.
3)Insures that systems are implemented for complete, timely and accurate facility and professional charge encounter capture.
4)Reviews monthly Accounting and AMG reports to evaluate the Center’s performance. Follows up on any variance for all Dentistry Programs: Dental Care, Mobile Dentistry, Special Patient Dentistry and Timeshare.
5)Responsible for assuring that all charges related to patient care activities are entered into the appropriate systems in an efficient and accurate manner. Performs quarterly billings to 8 outside pediatric dentists who treat patients in the OR.
Preparation and administration of budgets. Responsible for budget management and performance and fiscal oversight of all areas of responsibility.
1)Develops annual operating budgets (revenue, expense, activity and FTEs budgeted and actual) for the Dental Care, Mobile Dentistry, Special Patient Dentistry and Timeshare Programs.
2)Develops capital budgets(maintenance and strategic capital)
3)Appropriately manages budgeted vs actual FTEs, open requisitions and profile processing, performance reviews within policy guidelines of 30 days or less for 20 clinical and support staff associates.
4)Monitors and evaluates performance of the Dental Center as it relates to revenue.
5)Assists with the development of feasibility studies for new programs/capital expenses.
6)Manages all grant accounts, providing accurate and timely accounting to administration upon request. Requests fund transfers, when appropriate, to offset operating expenses, capital purchases and or unbudgeted necessary requests.
7)Oversees dental resident productivity/revenue and administrates the Dental Business Plan which rewards dental residents for exceeding revenue the revenue target.
Human Resources Administration
1)Handles routine human resources processes, such as job posting, interviewing, hiring, status changes, payroll and payroll corrections, leaves of absence, etc.
2)Knowledgeable about basic benefit issues. Responds to and handles basic benefit questions.
3)Conducts regular meetings for staff members and any appropriate subgroups for feedback and communication.
4)Evaluates and conducts performance reviews for staff on a timely basis.
5)Coordinates recruitment activities. Facilitates and promotes retention strategies.
6)Assesses educational needs of the staff and facilitates educational opportunities to achieve these goals. Arranges for associates to attend outside continuing development opportunities to enhance the quality of care the Dental Center provides.
7)Assists individuals with identifying professional goals and provides opportunities to achieve these goals.
8)Ensures adequate orientation program for staff.
9)Implements and coordinates disciplinary procedures when necessary.
10)Monitors and facilitates the resolution of performance and/or other employee relations issues.
Collaboration with Advocate Charitable Foundation for Grant and Fundraising Opportunities.
1)Provides necessary, narrative, budget and statistical information for grant applications in support of the Mobile Dentistry and Special Patient Dental Care Programs.
2)Assists in developing alternate service lines/initiatives for favorable grant support.
3)Monitors the use of philanthropic funds to ensure alignment with the donors' requests and assists in providing information for interim reporting of use.
4)Engages with the Program Directors for the Mobile Dentistry and Special Patient Dentistry Programs in developing ways to heighten awareness of these unique service lines and monitor philanthropic support. Assists the Charitable Foundation in providing interim progress reports to funders.
5)Develops cost-effective strategies for maximizing grant dollars and maintaining service lines when grant funds are at risk.
Legal Compliance.
1)Processes all requests for new and renewal agreements for all independent contractor, employed and timeshare dentists.
2)Provides position descriptions for all independent/employment agreement requests and obtains W-9 and professional liability information.
3)Collaborates with AMG Legal and leadership in resolving all contract issues.
4)Manages the process to full execution for all professional service and employed dentist agreements, obtaining required approvals from AMG leadership, HR and Legal.
5)Performs monthly reconciliations for 3 employed dentists who treat patients under a revenue split compensation model.
6)Processes all monthly payments for approximately 20 attending independent contractor dentists who provide attending coverage and/or services to patients at the Dental Center.
Facility Administration
5)Insures that all equipment in the dental operating room is in working condition and stocked appropriately.
3)Responsible for the facility maintenance for the time-share dental group assuring the equipment and physical site are properly maintained.
4)Communicates directly with the outside cleaning service and handles all requests to insure acceptable and clean conditions for the Dental Center's associates, dentists, patients and visitors.
1)Insures efficient upkeep of practice facilities and equipment.
2)Responsible for the safe operation of unit. Ensures that all established policies and procedures concerning the environment of care, including but not limited to Disaster Management and Utilities Management are strictly adhered to. Responsible for training/Planning necessary at the unit level for all emergent situations and the environment of care programs.
Dental Hygiene Responsibilities for the Dental Center.
1)Schedules and coordinates annual dental screenings for participating facilities in the Special Patient Dental Care Program
2)Applies dental background in all clinical applications for the Dental Center.
Working relationships
1)Collaborates with dentists, management and other health care professionals to assure delivery of quality care, patient satisfaction and continual use of area services.
2)Actively participates in committees and projects. (CQI)
3)Coordinates activities to ensure patient satisfaction as well as cost-effectiveness.
4)Engages with the Chairman and dental residents on maximizing productivity for all Dental Programs. Oversees Program outcomes and Dental Business Incentive Plan.
5)Works closely with other support areas and AMG leadership on a regular basis, i.e. Operations, Engineering, Accounts Payable, Legal, Human Resources, in effective management of the Dental Center.
Growth and Development
1)Keeps abreast of current standards of care via literature, educational events, internal and external resources and internal/external networking.
2)Maintains memberships in professional and community organizations, as applicable.
3)Maintains CPR Instructor status and responsible for providing emergency training, when necessary, to staff and attending dentists.
4)Maintains all requirements for Illinois State Licensure as a Dental Hygienist.
Education/Experience Required:
Bachelors Degree required (BA, BS, etc.). Minimum of 5-6 years experience in health care setting with supervisory experience.
Knowledge, Skills & Abilities Required:
Ability to cooperate and work well with internal and external customers. Good communication skills Able to manage multiple ongoing projects. Computer literate.
Current Illinois Dental Hygiene license. CPR Certification Required.
Physicial Requirements and Working Conditions:
This position is involved with Accrediting Organization, Illinois Department of Public Health. Illinois Department of Nuclear Safety, OSHA, ADA(American Dental Association)
