Move Coordinator
**29217BR** **Job Title:** Move Coordinator **Department:** Space Management **Primary Campus:** University of Kansas Lawrence Campus **Job Description:** **50% - Move Related Responsibilities** Enter and track work orders for move coordination. Obtain and provide estimate costs for relocations and vendor moves to appropriate parties. Respond to incoming email communications, phone calls and other messaging concerning work orders and questions about move coordination. Review invoices for accuracy prior to payment processing for assigned move projects. Continually communicate with multiple departments, contractors, and vendors to ensure the move project stays on task and within the project time frame. Supports leadership in identifying room usage requirements and long-range building occupancy strategic plan and space utilization. Makes recommendations to leadership for moving plans for departments and new buildings. Assists with the planning and implementation of occupant, furniture, and equipment additions, changes and moves for department/units. Works directly with multiple vendors to provide cost estimates for parts or design reconfigurations, as needed. Works closely with Facilities Planning and Development regarding relocation costs, and specific utility needs for various projects, including requesting rough order of magnitude costs associated with the projects. Facilitate collaboration and communication between all stakeholders to ensure that move projects are executed smoothly and efficiently. Assist in managing and coordinating cleaning out of office and lab spaces to prepare the space for future use. **45% - Space Management Responsibilities** Reference floor plans, architectural drawings, and walk spaces to assess all equipment and move needs, including coordination of electrical and building utility installations (including electrical, data ports, etc.). Provide recommendations to departments on furniture needs to fit the designated space in coordination to campus standards. During laboratory moves, assist department in planning for preservation of valuable research samples while following safety policies for hazardous materials. Ensure moves comply with ADA, Fire, Life & Safety guidelines and policies and other regulatory requirements specific to KU including environmental regulations, accessibility standards, and security protocols. Work directly with Space Management leadership to ensure updates to space database are promptly entered and assist with other space management projects as assigned. Attend and participate in planning, building construction/renovation, program/departmental, and remediation meetings. Track disposal requests, coordinate with vendors and ensure proper disposal protocols are followed. Project management skills in planning, scheduling, budgeting, and risk management. 4. 3 years of experience with AutoCAD and Microsoft Office. **Position Overview:** The Move Coordinator position, within the Office of Space Management, is responsible for coordinating relocations at the University of Kansas, and all associated leased properties for the KU Lawrence campus. By providing excellent customer service and support throughout the relocation process, the Move Coordinator helps ensure a positive experience for faculty, staff and other occupants affected by moves. This includes addressing concerns, providing timely updates, and minimizing disruptions. This position is a supporting role working under the guidance of Space Management to liaise between the KU departments/units that are moving and the contracted moving unit, as well as other KU supporting departments such as IT, locksmiths, security, trades groups, contractors, architects, and project managers while protecting KU Lawrence Campus interests and integrity by providing professional move management services in alignment with KU policies. The Move Coordinator serves as a critical link between space management initiatives and operational activities within the institution. These efforts contribute to the effective utilization of space, support strategic objectives, and ensure a seamless transition for all stakeholders involved in move projects.
