The N922 Threat Mitigation Department is seeking a Department Administrator & NSEC Site Administrator for MITRE Australia position for our department and leadership team. The Threat Mitigation Department manages, guides, and directs 30 staff-years of technical and domain-specific work focused on enhancing the nation’s counterintelligence and insider threat efforts at the strategic level and providing enterprise-wide solutions to national security challenges. This position offers the opportunity to dive into complex and rewarding work with high visibility US and Australian sponsors by supporting our project teams that build and improve solutions at the forefront of national security. The administrator proactively engages with the Department Manager, Chief Engineer, Group Leaders and Project Leaders and the MITRE Australia leadership team to support various requirements across the department and site, promote best practices, and coordinate outreach and engagement with sponsors. Successful candidates will bring a strong background in planning, communications, and a familiarity with business operations. Successful candidates require demonstrated ability to communicate effectively (oral/written), interpret/apply policies, monitor time reports, maintain records accurately and reliably, organize and prioritize Department Manager’s & MITRE Australia leadership schedules, work independently, take initiative, exercise good judgement, track deadlines, schedule meetings and department activities, coordinate formal correspondence, and support staff, department, division, and MITRE Australia meetings. The candidate needs to be adaptable and agile, working side-by-side with MITRE staff, members from the Intelligence Community, and the MITRE Australia team, and demonstrate good interpersonal skills in a friendly, professional manner.
Basic Qualifications:
+ Requires a minimum of 1 year of related experience with a High School Diploma or equivalent in education, or equivalent combination of high school courses and related work experience.
+ Active security clearance
+ Impeccable attention to detail
+ Excellent written and verbal communication
+ Desire to contribute to MITRE’s support to the intelligence community
+ Responsive to requests for immediate support, which can require visiting Government sites located in Northern Virginia, Downtown Washington, D.C., and Australia sites
+ Maintain calendars, meetings, and schedules
+ Track action items and suspense dates for corporate, center, division, department, and site matters
+ Maintain and manage the Department Manager’s (DM) schedule, which requires the ability to prioritize the DM’s requirements, commitments, and requests for meetings
+ Provide administrative and logistics support to department & Australia site personnel
+ Plan and organize meetings, conferences, and events, to include coordinating supporting services (facility reservation, audio/visual support, catering, security, etc.)
+ Manage business travel for DM and other department staff using MITRE’s travel and expense system
+ Assemble background materials for meetings and briefings; assist in compiling, posting, and electronically organizing & archiving such information, as necessary
+ Arrange for office moves and manage division property and audit tracking
+ Maintain and order department office supplies
+ Track and purchase items with budget updates
+ Reconcile the Department MITRE Purchase Card monthly
+ Manage logistics associated with on-site candidate interviews for department positions, including room reservations and interview panel scheduling
+ Work collaboratively with the other department and division administrators
+ Run/monitor personnel planning reports and act as back-up/proxy for DM Workday processes
+ Compose correspondence as required
+ Monitor department absences and time reports, patch updates, mandatory training
+ Assemble packages for new employees and arrange for their arrival
+ Exercise discretion regarding sensitive information at all levels both internally and externally
+ Update and maintain department SharePoint Site
+ Maintain a high level of communication with managers/staff.
+ This position requires a minimum of 4 days a week on-site.
Preferred Qualifications:
+ Experience using tools that assist with resource tracking and projections (i.e., Clarity PPM)
+ Expertise using Excel
+ Experience supporting business operations, including functions such as hiring, staffing, budgeting, and projecting financial estimates.
+ Experience working with invoices / billing departments to ensure accuracy
+ The ability to organize, create, and manage SharePoint sites
+ Concur Travel and Expense experience
+ Previous experience with graphic design
