Job Description

We are seeking a detail-oriented and highly organized Executive Administrator to manage invoicing responsibilities, coordinate vendor activities, and handle various administrative tasks. This role requires excellent communication skills, the ability to manage executive-level calendars, and proficiency in Microsoft Office and QuickBooks.

ResponsibilitiesHandle invoicing responsibilities and create invoicing templates.Coordinate and manage vendor activities.Take detailed notes during oral meetings and communicate information to donors, legislators, members, and board members.Draft, track, and follow up on communications, ensuring critical communications are elevated appropriately.Conduct high-level research.Create templates for 1099 contractors.Review grant accounting guidelines and restrictions, presenting options with limited oversight.Manage calendars and projects for executive-level staff and board members, tracking deadlines and deliverables.Monitor various mailboxes for correspondence.Skills & QualificationsHigh School Diploma1-3 years of experience in invoicing, payables, administrative or office managementExperience with MS OfficeQuickBooks or Sage experience preferredWork Environment

The work environment is laid back with flexible hours (day shift). As a non-profit organization dealing with sensitive subjects, the ideal candidate should be resilient and able to handle challenging situations with professionalism.

Pay and Benefits

The pay range for this position is $28.85 - $31.25/hr.
