AGENCY MISSION:
The Executive Office of Housing and Livable Communities (EOHLC) is charged with creating more homes in Massachusetts and lowering housing costs for residents.
Formerly known as the Department of Housing and Community Development (DHCD), EOHLC works with municipalities, local housing authorities, non-profit organizations, and development partners to provide affordable housing options, financial assistance, and other support to Massachusetts communities.
OVERVIEW OF ROLE:
The Noticing Specialist/Office Support Specialist I is responsible for executing the notification process for families in the Emergency Assistance (EA) Family Shelter Program. This role involves updating data systems, maintaining communication with program participants and providers, and providing operational updates to leadership. The Noticing Administrator ensures compliance with housing policies and improves the efficiency of the notification process.
DUTIES AND RESPONSIBILITIES (NOT ALL INCLUSIVE):
1. Communication:
· Use notice templates to inform families of changes to their length of stay status following hardship waiver decisions, document audits, and appeals.
· Verify and record delivery of notices to families.
2. Update/Monitor:
· Update data systems to reflect changes to families' statuses.
· Monitor spreadsheet trackers and notify the data team when files need to be loaded to data systems.
· Track provider compliance with notice delivery requirements and send reminders as appropriate.
3. Recommending:
· Use specified criteria to make recommendations regarding extensions to families' time in shelter, to be reviewed by a supervisor.
4. Administrative Support:
· Handle shared email boxes, respond to questions, and escalate concerns as needed.
· Maintain a contact list for HLC staff and providers.
· Provide operational updates and share relevant feedback with leadership.
PREFERRED QUALIFICATIONS:
1. Demonstrated proficiency in data entry
2. Ability to handle sensitive information with confidentiality.
3. Detail-oriented with a focus on accuracy.
4. Strong organizational and time-management skills.
5. Excellent written and verbal communication skills.
6. Ability to multi-task.
7. Experience working with homeless families.
8. Demonstrated collaboration skills with outside agencies.
9. Demonstrated knowledge of all Microsoft Office products, particularly Microsoft Excel.
10. Ability to communicate with families, providers and staff across state agencies with tact and diplomacy.

This position would be expected to follow a hybrid model of reporting to work that combines in-office workdays and work from home days, as needed.
Salary placement is determined by years of experience and education directly related to the position and the Human Resources Division’s Recruiting Guidelines. In the case of a promotional opportunity, the salary provisions of the applicable collective bargaining agreement will apply to placement within the appropriate salary range.
