Office Administrator

At CADDi, we are looking for a highly organized and motivated Office Administrator to be the core of our CADDi team in Chicago! As the main point of contact for all things office-related, you will play a crucial role in ensuring a smooth and efficient work environment for our employees. You will manage office operations, support employee engagement initiatives, and provide administrative assistance to various teams. What your days will look like:
Office Management:
+ Serve as the primary liaison with building management and the leasing company.
+ Manage and maintain office supplies, equipment, and inventory.
+ Oversee the ordering and stocking of kitchen supplies.
+ Manage incoming and outgoing mail and shipments.
+ Maintain office organization and cleanliness.
+ Manage office calendar and schedule meetings.
+ Assist with onboarding new employees (pre-start communication, technical setup, first-day support).
+ Help manage administrative tasks regarding company vehicles.
Employee Engagement:
+ Plan and execute office events, including lunches, celebrations, and team-building activities.
+ Manage employee birthdays and anniversaries.
+ Assist with company-wide meetings and events.
Administrative Support:
+ Provide administrative support to various teams as needed.
+ Car maintenance management
+ Manage documentation and follow-up for bi-weekly All-Hands meetings.
+ Assist with expense report processing and compliance.
+ Potentially assist with recruiting efforts (e.g., scheduling interviews, coordinating candidate communication) and executive administration for the leadership team.
Requirements
What will a successful Office Administrator bring to the table:
+ You’ve had 3-5 years of experience in office administration under your belt, preferably in a startup or small company environment.
+ Strong proficiency in Google Workspace (Gmail, Calendar, Drive, Docs, Sheets, etc.).
+ Advanced Excel/Sheets skills. Strong email management skills.
+ Excellent verbal and written communication and interpersonal skills with the ability to build rapport and trust internally and externally
+ You would call yourself proactive, self-motivated, and highly organized.
+ You have strong problem-solving skills and attention to detail.
+ Ability to work independently and as part of a team.
+ Valid Drivers Licence

+ Experience with reviewing contracts (leasing agreements, vendor contracts).
+ Event planning experience.
+ Experience with recruiting or HR coordination.

Starting salary range is $60,000 - $80,000 per year, based on experience, with opportunities for growth and increased earnings.
