Overview This position is responsible for administration of TRC’s Chicago, Illinois, office location which has over 25 engineers, scientists, and other environmental professionals reporting to it. The successful candidate will work closely with the management team, project managers, and staff in the office on record management, report production, management of office and field supplies, fleet vehicle maintenance, communication with subcontractors and vendors, copier and printer maintenance, day-to-day office related administration tasks, and some technical support tasks. The position is full time in office. Responsibilities Producing (copying and binding) hard-copy project reports, including large scale plotting. Records management, primarily electronic, including maintaining databases or Excel workbooks (e.g., employee training dates, contractor certificates of insurance, etc.). Administrative tasks, such as mail/FedEx (receiving and sending), ordering office and field work supplies, coordinating building maintenance, copier/plotter maintenance, check requests, building/suite security, etc. Assisting new employees with onboarding, including setting up workspace, access, and other credentials. Assisting current employees with building/suite access and ‘hoteling’ for staff working at office on a limited or rotating basis. Maintaining fleet vehicles, including coordination of training or maintenance, billing, and other support. Supporting market efforts including research of clients, events, etc. Assistance with preparation of technical documents/reports, correspondence, and proposals using Word and Excel applications at an advanced level of competency. Assist Project Managers, engineers, scientists, designers, and inspectors with miscellaneous requests related to projects (routine financial or technical tasks). Assist with planning of special events, including ordering lunches, picking up/ordering supplies, and disposal of e-waste. Assist managers with scheduling work and following up on potential scheduling conflicts. Assisting with support for various internal software applications including purchase order production, expense reports, etc. Assist with special projects requested by local or corporate office staff. Other duties as assigned by managers Qualifications High School Diploma required (Associate’s or Bachelor’s degree preferred). Previous experience supporting multiple project managers in an engineering, consulting, or construction environment, preferably in the civil or environmental fields. Advanced competency in MS Office (Excel, Word, Adobe Acrobat and Outlook). Proficiency and experience in database software (Access, inMagic, Vision, or other custom database solutions). Previous experience with contracts, subcontracts, and insurance language a plus. Experience with FedEx shipping/receiving. Experience with budgets or other financial reports. Experience with troubleshooting copier/plotter issues and/or working with service Strong verbal and written communication skills. Must be a self-starter and able to work independently in an organized manner. Must be detail-oriented and well organized. Ability to manage priorities and work through schedule conflicts should they occur. Must have a sense of urgency, be self-motivated, team oriented, and be collaborative. Must have a valid driver’s license and have a reliable form of transportation to/from the Chicago central business district. Compensation: In accordance with local law, the below salary range is applicable for the job and location associated with this requisition. Compensation will vary based upon experience, education, skill level, geographical location, and other compensable factors. Other Compensation: Employee may be eligible for participation in the Company’s annual Discretionary Bonus Program which is contingent on Company, Business Segment, and Individual performance against Key Performance Indicators which vary by year and employee.
