Office Administrator Intern

The Frontera Generation facility, located in Mission, TX, about two miles north of the Rio Grande River, which forms the border between the United States and Mexico, is a 480 MW combined cycle facility. This facility utilizes Mainsaver ERP for its operations. It is comprised of two GE 7FA combustion turbines, two unfired Nooter Ericksen HRSG's, and an Alstom reheat steam turbine.

Opportunity Summary

The Office Administration Intern will gain hands-on experience in administrative operations within a dynamic plant environment. This internship provides an opportunity to develop essential business and organizational skills by supporting office management, communication, and accounting processes. The intern will assist in maintaining employee records, coordinating meetings and events, processing vendor invoices, and ensuring compliance with company policies. This role offers exposure to real-world administrative tasks and the chance to contribute to special projects while collaborating with professionals across various departments.

Primary Responsibilities

Support office operations by assisting with internal and external communications. Help coordinate meetings, maintain the plant calendar, and track action items. Assist in organizing company events and travel logistics. Aid in maintaining accurate and confidential employee records, including payroll details and time-off tracking. Assist in processing vendor invoices, including coding, document matching, and accuracy verification. Organize and maintain vendor files and plant records following corporate policies. Support business document retention and compliance efforts. Address vendor inquiries and assist in issue resolution. Participate in the month-end accounting close process by preparing necessary documentation. Help administer the plant’s purchasing card program. Provide assistance with special projects as assigned by the Plant Manager and Administrative Manager. Compile and analyze labor tracking reports. Support the electronic time-and-attendance system to ensure accurate records. Assist with mail sorting, distribution, and outgoing mail handling. Learn and provide backup support for inventory procurement processes.

Compensation

The hourly rate of pay will range from $20.00 - $25.00 per hour.

Fitness for Duty

All employees will participate in the Fitness for Duty Program. This program includes a pre-employment drug screen and post-employment random drug screening.

Work Conditions

Regular scheduled workdays are Monday to Friday, during normal working hours. Position requires extended working hours with the possibility of weekend and holidays, as required by workload.

Education and Experience Required 

Currently pursuing a degree in Business Administration, Human Resources, Accounting, or a related field. Strong organizational and communication skills. Attention to detail and ability to maintain confidentiality. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Ability to multitask and work collaboratively in a team environment. Interest in administrative processes and business operations.
