Description of Responsibilities: + Greet guests entering the office. + Answer telephone calls. + Collect mail from the mail room. + Monitor Diversity mailbox. + Compose and answer emails. + Schedule meetings for the Director, Associate Director, Assistant Director, and staff of The Institute. + Complete Interview Exchange forms for job positions and job renewals. + Submit purchase orders. + Submit requests to Facilities Maintenance Operations when work is needed. + Chair The Institute Operations Committee. + Assist staff with booking travel arrangements for conferences. + Order office supplies. + Compose office staff meeting agendas. + Create Zoom for meetings for staff. + Start Zoom for meetings if necessary. + Order menu items with Catering Department for retreats and other events. + Attend staff meetings. + Attend briefings with Chief Diversity and Inclusion Officer. + Organize onboarding new employees. + Post the Graduate Assistant job position. + Complete applications for procurement cards and submit them to Purchasing Department. + Monitor the Institute Workshop Request Google forms. + Enter staff working hours on The Institute Staff calendar. + Enter workshops and events on The Institute Programming calendar. + Request quotes from Campus Technology Service for new computers when needed. + Complete Tompson Reuters online training. + May be asked to attend functions and events after work hours Required Qualifications: + Ability to work independently and as a member of a team. + Strong customer service skills. + Strong verbal and written communication skills. + Strong organizational skills. + Working knowledge of Microsoft Office Suite + Working knowledge of the Google platform Job Requirements: NY HELPS This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At this time, agencies may recruit and hire employees by making temporary appointments. In May 2024, if a temporary NY HELPS employee is satisfactorily performing in the position, the appointment will be changed from temporary pending Civil Service Commission Action to permanent non-competitive and the official probationary period will begin. At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified. Non-Competitive Minimum Qualifications (NY HELPS): There are no minimum education or experience requirements for this title. The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation. Competitive Minimum Qualifications: Candidates must be permanent competitive or 55 b/c employees of New York State to be eligible to apply for this position. Permanent Appointment (Non-NY HELPS): One year of permanent competitive service as an Office Assistant 1 (Keyboarding) OR be reachable on the Office Assistant 1 (Keyboarding) eligible list OR have one year of permanent competitive or 55b/c service in a title eligible for transfer under Section 70.1 of the law. 70.1 transfer or Reinstatement: One year of permanent competitive or 55b/c service as an Office Assistant 1 (Keyboarding) OR have one year of permanent competitive or 55b/c service in a title within two salary grades of the target title that is eligible for transfer under Section 70.1 of Civil Service Law. Reassignment: Permanent competitive or 55b/c service as an Office Assistant 1 (Keyboarding). Provisional Appointment: Eligible for provisional appointment under NYS Civil Service guidelines. Conditions of Employment: This will be a permanent or provisional appointment.
