The Consolidated Business Office's (CBO) Operations Unit processes invoices/vouchers annually for OMH's Central Office and all of its facilities. Specific duties may include, but are not limited to, the following:Under the direction of the State Operations Finance Group, Business Officer 1, Office Assistant 2 provides a key role in maintaining overall productivity and efficient workflow in the office. Specific duties may include, but are not limited to, the following:• Maintain shared mailboxes in Outlook, by assigning, distributing and filing emails.• Create, organize and maintain paper and electronic files including the scanning/faxing and photocopying of documents.• Prepare and process vouchering transactions. This requires mathematical calculations and knowledge of the program area, and entry into the Statewide Financial System (SFS).• Coordinate and review invoices, vouchers and payment transactions in SFS for OMH facilities.• Review all invoices received for accuracy-Verify documentation needed for processing is complete.• Operate office machines such as copiers, and computer printers and perform simple maintenance tasks.• Accurately key data into various databases, software modules, Excel spreadsheets etc.• Perform miscellaneous duties in support of the CBO mission as assigned. Minimum Qualifications Non-Competitive HELPS Opportunity: One year of clerical experience. For the duration of NY HELPS, this title maybe filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.
