Office Assistant
Description We are in search of a part-time Office Assistant to support our administrative operations in the non-profit sector. This role is based in Bloomington, Minnesota, and offers a long-term contract (1 year+). The Office Assistant will be instrumental in handling various tasks such as file management, drafting correspondences, and maintaining direct communication with our organization's beneficiaries, stakeholders, and partners. This role will require 25 hours per week and is flexible. Responsibilities: • Manage office operations daily, including handling phone calls, emails, and correspondence. • Coordinate schedules, assist in project-based tasks, and organize meetings to support the staff. • Ensure files, records, and databases are managed and maintained in an organized manner. • Prepare reports, presentations, and briefs as required for effective communication and record-keeping. • Greet visitors professionally and amiably to maintain a friendly office environment. • Provide general administrative support that includes mailing, scanning, faxing, and photocopying. • Coordinate the maintenance of office equipment to ensure smooth office operations. • Handle additional duties as assigned, contributing to the overall efficiency of the team. • Utilize Microsoft Office Suites, including Microsoft Excel, Microsoft Outlook, and Microsoft Word, to perform office functions and clerical duties. • Deliver excellent customer service and facilitate facility inspections as part of the role. Requirements • Proficiency in Microsoft Office Suites including Microsoft Excel, Microsoft Word, and Microsoft Outlook • Experience in executing office functions and clerical duties • Ability to manage billing functions and maintain financial records • Skills in coordinating facility inspections and acting as a facilities coordinator • Strong customer service skills, with the ability to handle correspondence professionally • Experience in non-profit work environment would be advantageous • Demonstrated ability to work independently and as part of a team • Strong organizational skills with the ability to manage multiple tasks simultaneously • Excellent written and verbal communication skills • High school diploma or equivalent educational qualification is required • Prior experience in a similar role would be beneficial.
