Office Assistant
Description We are in search of a human resources clerical assistant to become a part of our non-profit team located in EAST PATCHOGUE, New York. As an Office Assistant, your main role would be to provide comprehensive secretarial and support services, ensuring smooth operations within the office. This position offers a long-term contract employment opportunity. Responsibilities: • Provide accurate and efficient processing of customer credit applications • Ensure the maintenance of accurate and up-to-date customer credit records • Handle customer inquiries and provide timely solutions • Monitor customer accounts and take necessary actions as required • Conduct efficient office management, ensuring the smooth operation of the office • Assist in the preparation and processing of documents, including correspondence, memos, and reports • Sort and separate incoming mail and maintain a systematic filing system • Maintain the confidentiality of the Quality Assurance filing system and update binders as directed • Keep track of appointments and daily schedules for the Director of Quality Assurance • Report child abuse and neglect to Child Protective Services (CPS) immediately as per the Agency’s Policies and Procedures • Provide courteous, accurate, and timely responses to requests for information, maintaining pleasant interactions with staff, volunteers, vendors, parents, and community contacts • Use a variety of office machines and assist with the reception area as needed. Requirements • Proven experience in a similar role, preferably within the non-profit sector • Proficiency in answering multi-line phone systems • Demonstrated ability in e-filing and external filings • Solid experience in traditional paper filing systems • Excellent data entry skills, with a high degree of accuracy and attention to detail • Strong organizational skills and the ability to prioritize tasks effectively • Ability to work effectively as part of a team and on individual tasks • Excellent communication skills, both written and verbal • High level of computer literacy, including proficiency in Office Suite • Demonstrated ability to maintain confidentiality and handle sensitive information • Commitment to the mission and values of the non-profit sector • Ability to work effectively under pressure and to tight deadlines.
