Office Assistant
**Job Title: Office Assistant** **Job Description** The Office Assistant provides administrative support to ensure successful operations of the facility. This role serves as a point of contact for facility visitors and manages inbound calls. The Office Assistant is expected to handle multiple tasks concurrently, requiring strong time management skills and organization. **Responsibilities** + Answer and direct incoming calls using a multi-line phone system. + Greet and assist clients, vendors, and other patrons; maintain visitor schedule and log. + Maintain organized filing systems for various records. + Maintain company calendars. + Collect and distribute incoming mail; prepare documents for mailing. + Monitor office supply inventory for the facility. + Prepare packing slips for customer shipments, receive inventory into ERP system, and send documentation to the corporate office. + Reconcile shipping invoices. + Handle shipping & receiving, labeling, and packaging. + Generate reports upon request. + Print necessary office documents monthly. + Scan and save documents. + Assist with the coordination of company events. + Maintain Standard Operating Procedures (SOPs) and best practices. + Maintain a safe, clean, and organized workspace. + Perform other duties as assigned. **Essential Skills** + Proficient customer service skills. + Proficient knowledge of office equipment and its functions. + Proficient data management skills. + Basic knowledge of logistics management. + Proficient computer literacy, including Microsoft Office and ERP system. **Additional Skills & Qualifications** + High School Diploma or equivalent required. + 2+ years of professional office experience required. + 1+ years of shipping experience preferred. + Demonstrate initiative and personal accountability to meet work demands; work effectively under pressure with limited supervision. + Effective written and verbal communication skills to collaborate with team members. + Ability to organize, prioritize and manage multiple medium complexity projects in a cross-functional environment. + Strong attention to detail and commitment to accuracy of work. **Work Environment** The shift is Monday to Friday, 6 AM - 2:30 PM. Remote work is not available for this position. The work environment includes occasional exposure to production areas with fumes or airborne particles, moving mechanical parts, vibration, and moderate to extreme noise. Physical requirements include the ability to sit for extended periods, use hands and fingers to operate computer and office equipment, bend, stoop, kneel, crouch occasionally, carry or lift up to 10 lbs occasionally, and maintain focused vision with or without visual aids. This position requires U.S. person status as defined by the International Traffic in Arms Regulations (ITAR). **Job Type & Location** This is a Contract to Hire position based out of RANCHO CORDOVA, California. **Pay and Benefits** The pay range for this position is $21.00 - $25.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
