Office Assistant

UIC, Bowhead Transport seeks a full time, Office Assistant working from the UIC Anchorage Alaska corporate office.  The Office Assistant will work directly with the Bowhead Transport Administrative Assistant in a variety of daily responsibilities.  Rapid growth of the Bowhead business and an expanding fleet of vessels makes this a critical position involving daily operations in Seattle WA, all regions of Alaska and in support of an expansion into the South Pacific.  Applicants should have a desire to be part of a team of professionals dedicated to Bowhead’s growth and success.

Responsibilities

Office Assistant Responsibilities

Answer and direct calls with polite and professional communication.Reply to email and telephone calls in a timely manner.Prepare and monitor invoices.Receive, organize, and submit staff receipts for accounting records.Organize and schedule appointment, book conference calls and meetings.Maintain contact lists.Produce and distribute correspondence memos, letters, faxes, and forms.Assist in the preparation of regularly scheduled reports.Develop and maintain a filing system.Book travel arrangements for Bowhead staff and sub-contractors, rooms, taxis, couriers, hotels, etc.  Assist Bowhead Management with creating presentations.Handle multiple projects in an orderly manner.Assist in the development of web site and advertising updates.Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.Write letters and emails on behalf of other office and Bowhead Transport staff.Assist in the planning and coordination of office procedures.Receive, sort, and distribute the mail.Drive a vehicle picking up Bowhead Transport personnel or supplies and delivering as needed.  Photocopy and print out documents on behalf of other colleagues.Conduct data entry.Work with UIC HR, Payroll & I.T. department to onboarding new hires and provide orientation.

Office Assistant Requirements

Preferable admin assistant experience.Excellent time management skills and the ability to multi-task and prioritize work.Attention to detail and problem-solving skills.Excellent written and verbal communication skills.Strong organizational and planning skills.Proficient in MS Office (Excel, PowerPoint, Word).High school diploma or equivalent; college degree preferred.Administrative Assistant must have a valid and clean driving record. Qualifications

Office Assistant Should Possess

The ability to travel occasionally. The willingness to occasionally work flexible hours including weekends (As determined by Bowhead Management).Initiative, and an eagerness to learn and grow professionally.The ability to be a team player providing reliability, punctuality, creativity, and the drive to be a part of continuing growth and prosperity at Bowhead Transport, LLC.
