Examples of Work (Any one position may not include all of the duties listed, nor do the examples cover all of the duties that may be performed.) + Assists in the coordination of an administrative program, project, function, or activity; + Assists in the preparation of professional reports and maintains current information on all applicable federal and state laws, rules, and regulations; + Answers difficult questions from internal and external customers regarding policies and procedures, rules and regulations, City Code, and departmental programs or functions; + Makes recommendations and assists in developing and administering office policies and procedures; + Collects data and compiles evaluative reports for a supervisor concerning the operation of City programs; + Composes correspondence or memorandumsfor the signature of a supervisor; + Reviews various documents such as legislative actions, contracts, proposals, and vouchers for concurrence with all applicable requirements; + Evaluates or monitors contract performance to determine compliance with contractual obligations; + Operates and manages complex databases and spreadsheets; develops basic formulas for software applications; + Prepares detailed correspondence and presentations; + Produces complex documents and reports using advanced software applications; + Performs as the confidential secretary to administrative personnel not included in the executive job family; + Assists in various phases of the hiring process such as recruiting, testing, checking references, or interviewing; + May have lead/supervisory responsibilities, which may include duties such as training, assigning and reviewing work, and scheduling. Minimum Qualifications Completion of the twelfth school grade and four (4) years of general office experience. Substitution(s): A certificate of high school equivalence (GED) will be accepted in lieu of a high school diploma. College training may be substituted for up to two (2) years of the required experience on a year-for-year basis (thirty (30) semester/forty-five (45) quarter credit hours equals one (1) year). The examination process will consist of a computerized exam weighted 100% covering reading comprehension, information ordering, proofreading, attention to detail, Word, Excel, PowerPoint, and Outlook (2016 and 2019 versions). The exam is expected to be administered in March. Approved applicants will be notified by mail/email of their scheduled test date and time. All applicants must complete all phases of the testing process in order to receive a final score. The names of all candidates who pass this examination will remain on the eligible list for two years, unless the eligible list is replaced prior to or extended beyond the two years. If a candidate's name is certified and the candidate is to be considered for employment, the hiring process will include one or more interviews, a criminal background check, and a pre-employment drug test. For any position within the Division of Police, the hiring process will also include the completion of an extensive personal history questionnaire and a polygraph examination.
