Office Assistant / Receptionist

As an Office Assistant / Receptionist you will report to the Office Manager, operate as a host(ess) for visitors and be a point of contact for staff. Responsible for providing support in clerical and administrative tasks to ensure efficient service delivery. Provide front office and office support duties as required and implement the guidelines of the Rijswijk office. We look forward to seeing your application!

In This Role, Your Responsibilities Will Be:

Handle the main switchboard for Rijswijk and Breda locations, including keeping the calling list updated. Handle mail, packages, and administrative tasks such as hotel and taxi reservations. Be responsible for the Coffee Corner and ensure office supplies, flowers, and other orders are led. Coordinate guest and employee badges (short-term entry badges, employee access badges) and run parking lot access. Plan and coordinate meetings, including scheduling meeting rooms, handling logistics, and assisting with internal and international meetings. Handle pool cars and rental car orders in collaboration with I-procurement. Handle visa-related matters, including requests, invitation letters, and guarantee letters. Collaborate with the Office Manager on personnel events and other office-related tasks. Post content on Intranet & Narrowcasting and lead office-related communications, including mailbox administration. Work closely with different departments (Catering, Facility, Marketing) on tasks like meeting arrangements, security, and gift distribution.

For This Role, You Will Need:

Verbal and written communication skills proficient in Dutch and English Secretary degree (MBO-4 level) or equivalent level in related field Computer Literate with MS Office (Word, Outlook and Teams)

 

Preferred Qualifications that Set You Apart: 

Verbal and written communication skills proficient in French Proven experience in a customer facing job, office assistant or equivalent position is a plus
